The role The Senior Client Relationship Co-ordinator plays a pivotal role in supporting the management of critical client relationships. This includes liaising with key contacts at the relevant clients, such as in-house legal teams, finance, and administration teams. The role demands a proactive approach to implementing and being accountable for the administration of client processes across the firm, ensuring compliance with each client's unique requirements. This role is integral to maintaining the team's reputation for exceptional client service and operational excellence. The ideal candidate will thrive in a fast-paced environment and will be committed to upholding the team and the firm's standards of service. Main responsibilities Client Liaison: Act as the primary point of contact for key client representatives within legal, finance and administration teams, fostering strong relationships and ensuring seamless communication. Instruction Monitoring: Monitor new instructions and allocating tasks within the team efficiently, setting up new files (including downloading documents from client platforms and populating files) Client Requirements: Proactively learn and adapt to each client's specific requirements regarding billing and administration including: Fee Confirmations : communicate fee confirmations to clients promptly Billing and Purchase Order Management: Manage billing processes including liaising with our dedicated client E-billing team where applicable, managing purchase order numbers and floats in each case ensuring accuracy and compliance with individual client protocols. Reporting: Prepare and maintain regular reporting schedules in the format required by each individual client, ensuring all data is up-to-date and accessible. Datasite Management: Oversee and manage client datasites, ensuring they are organised and maintained to client standards including uploading deeds. File Management: Set up new files and maintain accurate records in accordance with client needs. Client Portals : Managing internal information portals keeping these updated as to client standards and protocols, supporting legal advisors and client team members in identifying and adhering to the relevant client requirements. Process Improvement: Taking responsibility for reviewing business processes, suggesting and implementing improvements to enhance efficiency and effectiveness. Accountability: Hold the team to account against relevant standards, ensuring consistent quality and compliance. Skills and qualifications Excellent client care (both internal and external clients), communication and presentations skills, with a friendly and solutions driven approach Self-confidence, initiative and the ability to grasp things quickly and easily Enthusiasm and drive with a positive, can-do attitude and an ability to learn quickly and adapt to varying client requirements. Strong organizational skills, high levels of accuracy and great attention to detail with a proactive, methodical and organised approach Ability to prioritise and complete work effectively and to remain calm under pressure A genuine team player with an ability to be flexible and to integrate and work within a team as well as working proactively alone Proven experience in a similar role or a high performing legal administrator or legal PA role may be beneficial but not essential. The role may also be suited to an ambitious graduate looking for a gateway to the legal profession (please note that this role does not provide a direct route to qualification).
