Job Summary:
Caterglobe Ltd is seeking an organized and proactive Service Coordinator (ideally Senior position) to oversee and manage service operations for commercial catering equipment. The ideal candidate will act as a bridge between clients, service engineers, and management, ensuring smooth scheduling, effective communication, and high-quality service delivery.
Key Responsibilities:Service Coordination & Scheduling:
1. Schedule and dispatch service engineers for maintenance, repairs, and installations.
2. Prioritize and allocate jobs based on urgency, engineer availability, and location.
3. Ensure adherence to service level agreements (SLAs) and response time commitments.
4. Keep track of job progress and update customers with real-time service status.
Customer Service & Communication:
1. Handle customer inquiries, complaints, and service requests via phone and email.
2. Provide technical support guidance where applicable and escalate complex issues.
3. Follow up with clients post-service to ensure satisfaction and obtain feedback.
4. Maintain professional and courteous communication with clients at all times.
Parts & Inventory Management:
1. Coordinate with suppliers and engineers to ensure the availability of spare parts.
2. Track and manage stock levels for essential components and order as required.
3. Work with engineers to ensure accurate documentation of parts used for each job.
Administrative Duties:
1. Maintain accurate service records, job sheets, and customer interaction logs.
2. Generate and distribute service reports, invoices, and job completion documents.
3. Process warranties and liaise with manufacturers for service claims.
4. Assist in contract management and ensure compliance with maintenance agreements.
Team Coordination & Support:
1. Act as a key point of contact for service engineers in the field.
2. Ensure engineers have the necessary tools, documentation, and schedules.
3. Coordinate training sessions or briefings on new equipment or procedures.
4. Monitor engineer performance and provide feedback to management.
Required Skills & Qualifications:
1. Proven experience as a Service Coordinator, Service Administrator, or similar role in the catering equipment or related industry.
2. Strong understanding of commercial kitchen equipment and service operations.
3. Excellent organizational and time management skills.
4. Strong customer service and communication skills (both verbal and written).
5. Proficiency in CRM software, scheduling tools, and Microsoft Office (Excel, Word, Outlook).
6. Ability to work under pressure and handle multiple tasks simultaneously.
7. Problem-solving mindset with attention to detail.
8. Knowledge of warranty processing and parts ordering is a plus.
Preferred Qualifications:
1. Experience working in commercial catering equipment, HVAC, or refrigeration service industries.
2. Familiarity with industry regulations and safety standards.
3. Technical background or understanding of catering equipment servicing.
