Lead Administrator UK Defence Academy, Shrivenham, SN6 8LA Permanent Part Time, Wednesday – Friday (22 Hours per week) Wed 0800-1600, Thurs 0800-1600, Fri 0800-1530 £14,740.73 per annum plus benefits To work in a job-share role within DRACL (Defence Requirements Authority for Culture and Language Lead Administrator), unsupervised as required and make sensible judgements in the day to day running of an administration office. Ensure smooth running of the office and monitor own workloads and those of any reporting staff. Responsible for the co-ordination and control of all incoming work as directed by the customer and Support Services Team Leader and the provision of induction training for the customer as required. Post holders will gain experience, as well as receive support and guidance, from colleagues/Line Management. Lead Administrators may rotate between posts to broaden their knowledge base and adopt best practise in their workplace. This will enhance our ability to provide a high level of service delivery during times of high workload, or absence/gapped posts where we will be able to call on staff to assist their colleagues. Main responsibilities of the role include: Coordination and control of all incoming work/assessment requests via DRACL inbox and/or website, responding in timely fashion to email, telephone and walk in queries. Sifting of MLA applications ensuring only candidates that meet MLA entry criteria are registered. Interrogation of MLA applications on JPA to confirm MLA eligibility. A security clearance (SC) will be required prior to having access. Updating and maintaining MLA register. Collaborate with Customer Agents and The Language Shop (TLS) where required. Ensure MLA requirements are correctly captured and provide clarification when requested. Co-ordination of fortnightly meetings and note taking when required. Issue MLA joining instructions. Ad Hoc general admin such as diary management for the team calendar and to deliver travel training to the team so individual travel can be booked. Effective communication with your Serco/Military/Civil Servants Customer colleagues. Production, amendment and maintenance of any assigned spreadsheets and databases including uploading of information to share sites (SharePoint) and (as an added value activity) virtual learning environments. What you need to do the job: Good level of general education Previous Administration experience PC literate, with experience in MS Office including Outlook, Word, Excel, and PowerPoint Ability to communicate at all levels, using a variety of communication methods (spoken, written, behaviour) Proven organisational skills and problem-solving skills High level attention to detail/accuracy The Defence Academy sits within a beautiful and secure site which hosts 2 lakes and is surrounded by acres of scenic woodland.
