About the Role – Operations Administrator
When the Sales Team has confirmed a booking and taken the deposit payment, the Operations team steps in and takes over. When the sales team closes a deal, Operations take over and become the glue that holds the trip together, booking all the individual trip components eg hotel rooms, airport transfers, castle tickets, tour guides etc, checking and re-checking ahead of each trip and managing operations during the trip itself.
Once assigned as the Operations lead for a particular booking, you’ll be the main point of contact for partner travel agencies, final clients, and local providers. Your mission will be to ensure flawless execution of each trip by coordinating all the logistics and obsessing over every little detail.
Whether you have prior experience in travel operations or are naturally just a great planner and organiser and usually the person that's called on in your personal circle to organise and execute key events, you’ll have all the logistics and operational skills in place, ready to come to the fore. You must be well travelled yourself and have an idea of what might go into implementing an itinerary and bringing that trip to life.

Your daily tasks will include:
* Travel Operations: Coordinate and manage trips to ensure everything runs like a dream—and troubleshoot when it doesn’t.
* Trip Preparation: Nail down every pre-departure detail for seamless travel.
* Client Relations: Be the go-to person for travel agencies and clients, ensuring personalised support.
* Partnerships: Keep our supplier and partner relationships positive and respectful.
* Quality Control: Make sure everything meets our standards, legal requirements, and company policies. Always be looking to improve.
* Crisis Management: Be able to think laterally to solve problems quickly and calmly.
* Multitasking & Proactivity: Handle several projects at once, meet last-minute requests, and adapt to keep us competitive.
* On-Duty & Standby: When clients are traveling, you might sometimes need to be on-call after hours during an evening or weekend.

* Organised: Super organised, structured in your thinking and an expert in planning
* Fast learner: Able to pick up new systems, processes and ways of working quickly
* Structured: Able to handle multitask, handling many different bookings of varying complexity and each with its own unique combination of products comfortably
* Prioritisation: Able to prioritise workload and work tasks independently
* Communication: Great communicator, in writing and verbally, documenting actions taken and changes made
Requirements
* Experience: Ideally 2 years in sectors such as event management, tourism/hospitality ops or other relatable industry
* Key Skills: Project management, communication, and crisis handling.
* Personal Traits: Organised, methodical, independent, reliable, and structured.
* Communication skills: Especially written but also verbal. Able to build trust with clients and partners
* Tools: Proficient in Google Suite and digitally fluent
