Job Title: Junior Administrator
Location: Main Office - Willesborough Industrial Park
Hours: Monday to Friday, 8:00 am – 5:00 pm (including two 15-minute unpaid breaks and a 30-minute lunch break)
Holiday Entitlement: 28 days per year (inclusive of public/bank holidays).
Job Summary
We are seeking a proactive and detail-oriented Junior Administrator to join our dynamic team. This role requires excellent communication, organizational skills, and a commitment to ensuring smooth day-to-day operations. You will work closely with engineers, clients, and management to support the efficient scheduling and completion of projects, as well as contribute to process improvements.
Key Responsibilities
* Client and Engineer Support:
* Answer phone calls from clients and engineers, addressing queries and resolving issues promptly.
* Manage email inboxes to ensure timely responses to queries, job updates, and task assignments.
* Scheduling and Coordination:
* Schedule and allocate jobs for engineers using internal systems (e.g., Monday & Big Change).
* Develop efficient daily routes for engineers and maintain clear, ongoing communication with them.
* Coordinate and schedule works with high-profile clients, ensuring professionalism and efficiency.
* Administrative Support:
* Work closely with management on quoted works, reactive tasks, and Planned Preventative Maintenance (PPM).
* Create and manage purchase orders, ensuring accuracy and prompt processing.
* Order materials, liaise with suppliers, and arrange equipment hire as needed.
* Process Improvement:
* Proactively identify and suggest opportunities to enhance office efficiency and operations.
* Team Collaboration:
* Contribute to and maintain a positive and collaborative office atmosphere.
Skills and Qualifications
* Previous experience in office administration or a similar role.
* Strong organisational and multitasking skills.
* Excellent communication and interpersonal skills.
* Proficiency in using office software and scheduling tools (e.g., Monday, Big Change).
* Ability to work well under pressure and adapt to changing priorities.
* A proactive mindset with the ability to identify and implement improvements.
