Sand is a finite resource, and it’s running out. Today, population growth and the pace of progress means the world is devouring sand like never before – 50 billion tonnes a year globally. Together with our customers we have already diverted over 100 million tonnes of waste material from landfill and put it back into the materials market for use in construction; protecting sand & aggregates in areas where natural material reserves are in decline and enabling production to happen closer to markets. The position is based in Cookstown, Northern Ireland but may require some travel given the global profile of our work.
About The Role
Job Purpose:
The Executive Assistant will be responsible for supporting both the CEO, Chairman and Board of Directors with a wide range of activities including diary management, travel and accommodation arrangements, facilitating meetings plus internal and external liaison as required.
You will have a vibrant personality and the ability to perform an extensive range of tasks which will enable you to deliver in a fast paced and dynamic working environment. With such a variety of tasks we guarantee great learning opportunities and never a dull moment.
Responsibilities:
· To take responsibility for scheduling including setting up travel, meetings, speaking engagements and other appointments for the CEO, Chariman and the Board.
· Be pre-emptive to avoid too tight scheduling of meetings, meeting ‘clashes’, duplication, conflicting work deadlines,
· To liaise daily internal and external meeting organisers.
· To organise room bookings, refreshments, required documents & reports for leadership meetings.
· Act as the first point of contact for callers in person or by telephone to Chairman, CEO and board members
· Handle external and internal business correspondence and emails, prioritise and draft responses to ensure correspondence is handled promptly. Deal directly with matters that need not be an immediate priority for senior management and progress on their behalf.
· To help to prepare and format information for internal and external distribution.
· Where required, support with writing letters, emails, compile data for reports, create presentations, prepare presentations, edit, proofread and other information preparation tasks.
· Act as a liaison between the Board, senior management and staff as required. Confidently convey decisions and request information on behalf of the Board and senior management. Follow-up on information requests to ensure requests are processed within deadlines set.
· Request and collate briefing papers and minutes in good time before meetings for distribution with agendas. If requested following a meeting, distribute minutes and/or the actions to attendees (and a wider audience if appropriate) and ensure any actions arising from meetings are followed up.
· Compile travel claims for senior Board Members.
· Devising and maintaining office systems, including data management and electronic and paper filing system ensuring that the company follows all applicable record-keeping requirements and GDPR.
· Conduct research as required by Members of the Board to enable the preparation of papers, reports for meetings, presentations, etc. Examples of how information is collected include: direct request of information from colleagues and collation of replies; extraction of information from appropriate databases, and pulling papers or correspondence from intranet/internet or paper filing system
· Maintain the confidentiality of the Board at all times and handle confidential information with sensitivity and discretion.
· While usually based at Head Office at Cookstown, the staff member may, on occasion, be required to travel within or outside of Northern Ireland to support members of the Board.

Desired Criteria
* Experience supporting at executive/board level
* Experience supporting executives across different global locations
Required Criteria
* 3 years’ experience working as an executive assistant/personal assistant supporting an individual and/or team in an administrative capacity
* Experience of complex diary management
* Experience in efficient email correspondence management
