The Library and Knowledge Services team is comprised of 13 individuals globally, with 7 based in London. A collaborative and high-performing team, our goal is to ensure that everyone in the firm is equipped with the knowledge and resources required to deliver a top-class service to our clients.
The Knowledge Systems Analyst is responsible for managing the firm's knowledge database. This includes ensuring that the data, search algorithms and technology are set up to deliver the best possible experience to users, and that we are able to report on the system in a way that connects with wider business needs. The role requires someone with an analytical mindset and a passion for data.
Knowledge is central to what we do as a firm and the Knowledge Systems Analyst will have an important part to play in supporting many of the technology and process elements of the firm's Knowledge Innovation project – an innovative series of projects designed to transform the way we think about Knowledge at Withers.
Areas of focus and responsibilities
Knowledge Portal
1. Monitor usage of taxonomy terms and collaborate with Knowledge Lawyers to optimise and streamline terms; troubleshoot any technical issues with the taxonomies and ensure that the Knowledge Portal meets global requirements for tagging.
2. Ensure that the Knowledge Portal is working correctly and collaborate with IT to troubleshoot any issues.
3. Facilitate and oversee the loading of new material onto the Knowledge Portal; perform quality control and data clean-up of new records as needed.
4. Monitor user searches and activity in order to spot anomalies or glitches; proactively suggest ways to improve the accuracy of results.
5. Contribute to Knowledge Portal system developments and maintain system documentation including user guides and protocols.
6. Work with IT to build, maintain, implement and develop Power BI capabilities for reporting on use of the firm's global knowledge collection.
7. Develop an in-depth understanding of the information needs of Knowledge Lawyers, Knowledge team and other key contacts globally and produce accurate and relevant Power BI reports to meet their requirements.
8. Ensure that content is indexed in a way that allows it to connect with wider business reporting both now and in any future systems.
Working with the wider firm
1. Keep updated on best practices and emerging technologies in knowledge management.
2. Act as the lead contact between the Library and Knowledge Services and IT teams for the review and implementation of new technologies.
3. Work with the IT support and training teams to ensure they understand our knowledge management systems and help them provide the best possible support to users.
4. Assist with internal communications regarding knowledge management systems (for example, providing information on technologies available and updating intranet pages).
Technical skills and experience
1. Proven experience in knowledge management systems, within a professional services setting.
2. Able to demonstrate clear proficiency in knowledge management software, databases, and related tools.
3. Qualifications in Information Science or Computer Science are helpful but not essential.
4. Experience with Power BI / data analytics is a must.
5. Experience querying data with SQL and DAX, but not essential.
6. Needs to be able to produce reports in a variety of outputs and be able to translate IT and data management concepts into plain English.
7. Experience migrating / transitioning from one system to another would be beneficial but not essential.
