We have a fantastic opportunity for a Team Administrator to join our Housing department on a full time basis.
We are offering hybrid working and so the role will be based at our Sidcup office 2 days per week, as well as working from home. The role is Monday to Friday working 37 hours per week however we are open to considering a job share for this role should the right applicants apply.
In this role you will provide an efficient, effective, and versatile secretarial and administrative support service to the Housing Directorate, ensuring smooth operations and regulatory compliance.
You will also:
1. Undertake all aspects of diary, meeting, and activity management.
2. Support the Housing Directorate by preparing and collating documents for meetings and arranging, attending, and minuting meetings as required.
3. Co-ordinate the achievement of action points for the Housing Team.
4. Assist in the development, collation and distribution of a range of documents including board and statistical reports, letters, contract administration, and proof-reading reports.
5. Manage and monitor various operational and compliance tasks such as chasing and managing repair feedback forms, adding costs to work orders, maintaining an Approved Contractors List, and arranging site visit access for contractors.
6. Assist with the approval process to ensure invoices are authorised by appropriate signatory and sent to finance for payment in a timely manner.
7. Assist the Tenancy Management Officer with the roll out of weekly arrears letters and saving documents on the Property Management Package (Pyramid).
8. Monitor the Housing email inbox and ensure scanned documents are forwarded and filed appropriately.
9. Provide general administrative support to the Housing Directorate including scanning, uploading and filing of electronic documents.
10. Develop and maintain databases, including records of statutory checks and leases.
11. Ensure regular monitoring and compliance tracking related to Legionella, Fire and Water management plans, including the chasing for updates.

* Previous office administration skills and experience.
* Previous secretarial experience would be desirable.
* Strong experience of MS Office and IT systems.
* Good communication skills at all levels.
* Ability to work independently and manage own workload.
* Ability to remain discreet and maintain confidentiality.
* Good attention to detail.
