What we’re looking for: We are looking for an Executive Assistant to join our Operations team to ensure the smooth operation of the executive office. You will primarily be responsible for administrative support to the Chief Executive Officer, Chief Business Officer and Executive team, managing schedules and facilitating effective communication between the company’s leadership team. Where appropriate, you may also be required to support other strategic projects and office management tasks. Key Responsibilities: Executive Assistant Provide a comprehensive secretarial and administration service to the CEO, CBO, and growing Executive team. Maintain and organise diaries, meeting venue bookings, filing systems and all other relevant areas as necessary. Co-ordinate all Executive Team and Board member travel arrangements in adherence to current policies and budgets. Use company-approved travel vendors to arrange domestic and international travel for the team, including flights, trains, ground transport, hotels, etc. Prepare relevant documentation and itinerary packages to travelling staff in a timely manner prior to departures. Coordinate real-time travel issues as they arise. Prepare, submit, track and review expense reports for designated team members as necessary. Coordinate large meetings and events, both on- and off-site in collaboration with administrative partners from other locations, both domestically and internationally, as appropriate. Arrange conference registrations and membership renewals for professional organisations for designated team members. Provide ad-hoc assistance with personal and professional errands for the CEO, ensuring flexibility and a high degree of confidentiality. Strategic projects / office management (where required) Facilitate meetings, arranging refreshments and taking minutes if required to do so. Support the CEO and Chief of Staff with preparation and distribution of Board and other meeting materials and ensure they are sent in good time. Liaise with HR function in recruitment and HR matters when necessary, coordinating interview schedules with candidates and internal teams. Support contract management including collecting signatures and filing. Carry out other administrative and change management projects through the company’s development. Act as a trusted liaison between the Executive Team and internal/external stakeholders, ensuring communication flows seamlessly. Draft and proofread correspondence, presentations, and reports on behalf of the Executive Team, ensuring clarity and professionalism. Other Professionally represent the organisation. Liaise positively and professionally with colleagues and visitors. Commit to working proactively to support both the team and project outputs. Be amiable, professional and approachable at all times. Carry out ad-hoc EA duties as requested by the leadership team. As an ideal candidate you will have: Proven track record as an Executive Assistant or in a similar role, supporting C-suite executives in a fast-paced environment. A positive attitude, with a hands-on approach to new projects. Excellent organisational and prioritisation skills and an ability to adapt quickly to changing business needs. The ability to work under pressure and use your own initiative with minimal support. A proactive outlook with strong attention to detail. Excellent communication skills, both verbal and written. Confidence liaising at all levels both internally and externally. Proven time management skills. Strong attention to detail, ensuring tasks are executed to the highest standard. Excellent telephone manner and at all time maintaining a professional manner. Proactive and solutions-oriented mindset, capable of navigating ambiguity with confidence and poise. Respect for the need for confidentiality and discretion at all times. Previous Executive Assistance experience. Office suite knowledge (MS Office, online file sharing, PDF management, etc.) and at least intermediate computer literacy. Previous experience in a start-up environment ideal but not essential.
