The Position:
We’re looking for an organized and motivated Service, Inspection, Testing, and Maintenance Administrator to support our ITM and service department. This role is responsible for invoicing, compiling inspection reports, records management, summarizing deficiencies, communication, and above all excellence in customer service. What You Will Do:
1. General administrative duties, provide correspondence through email/phone, support ITM and service processes
2. Assist with invoices: inspections, deficiencies, and service work
3. Deliver reporting for quotes for repair, if approved collaborate with ITM Coordinator to move forward
4. Compile post-inspection documents and reports
5. Collaborate with ITM team to ensure inspections completed on time, error free and with minimal return visits
6. Summarize any deficiencies done in the field
7. Maintain all software and system processes, records to ensure up to date and accurate information
8. Track open jobs to ensure appointments moving forward
9. Create, track, maintain, verify and close all service appointment jobs
10. Assist in sales, preparing quotations, and cold calling if needed
11. Other administrative duties as assigned
What You Bring:
1. Completion of post-secondary education in a related discipline or combination of education, training and experience deemed equivalent
2. Minimum 2 years’ experience in work planning, scheduling, dispatching in service industries; preference for Sprinkler industry experience
3. Working knowledge or willingness to learn, of fire, fire suppressions systems, fire industry Codes and Standards an asset
4. Exceptional communication, organizational and interpersonal skills
5. Strong attention to detail, accuracy
6. Strong software capability, with MS Office suite, ability to use/learn relevant software applications
7. Ability to work independently and within a team environment
