Purpose of the role To ensure all operational staff are trained to carry out their tasks Where applicable provide staff with Internal systems training To ensure compliance with the site Integrated Management System (IMS) & Legal Compliance Promote continuous improvement and positive culture To ensure that the site administrative support is effective and efficient To ensure that the site offices are operated in a safe, efficient and cost-effective manner To support compliance supervisor with tasks Key accountabilities Ensure that the necessary site support tasks are conducted in a timely and effective manner General duties to include the typing of correspondence, reports etc, maintenance of company systems, records and filing Provide excellent telephone manner and effective communication skills To record and monitor compliance checks are being completed and we are adhering to procedures and policies. Assist in internal and external audits for site Maintain absolute confidentiality and discretion as is required by the position Compliance audits are coordinated, and records kept updated Ensure that the necessary site administrative support tasks are completed, which includes H&S documentation Compliance documentation Material, Capital and General order processing, GRN and queries if applicable Site training records are kept updated Site induction records Monitoring Time & Attendance, System calibration records Maintaining IMS Site Page Waste records Contractor files General site files Ensure that the necessary site office support tasks are completed including H&S documentation and permissions to proceed Provision of site records, meeting bookings and visitor controls for up to 10 visitors each day Provision of facility arrangements for regular site personnel Fire wardens and first aider provision Financial & Non-Financial accountabilities The role has:- 0 Direct reports Influence over the office budget Influence over 100 contractor visits each year Responsibility for the provision of services and facilities to 100 employees/contractors based on site Responsibility for the provision of facilities to external visitors each day various meetings Compliance Proven capability for efficiency and accuracy in administration tasks Exceptional attention to detail Thorough approach to the investigation of issues and queries Proven capability to manage, organise and motivate a team Solid understanding of and familiarity with systems and processes Demonstrate good communications skills with regional management teams and peers Proven ability to control compliance systems and resources The role holder is expected: To comply with all aspects of the Heidelberg Materials Compliance Policy. Maintain compliance KPIS and support monthly compliance business packs. Implement SHE Alerts and TBTs To ensure that all the business/operations are performed in accordance with instructions and procedures and in such a way so as to prevent any fraudulent activities taking place. To comply with the Health & Safety at Work Act 1974 and to observe the requirements of the Company Safety Policy and other relevant legislation. The job holder must have some SHE awareness to enable them to be aware of and to report any SHE issues that may arise To proactively manage health & safety of employees to continuously improve the company's health & safety performance. To update all areas of knowledge as required to carry out the job with maximum effectiveness and to attend training/development courses as and when required. To comply will all aspects of the HR Policies and Procedures of the Company.
