Purpose of the position:
7. Provide high-quality administrative support to the Registered Manager and the Company.
8. To ensure all administrative duties are managed effectively, prioritising where necessary to maintain the smooth running of the office
9. To ensure time is managed effectively, ensuring professional communication and confidentiality at all times
10. Must have a working understanding of the Care Act and CQC’s Essential Standards.
11. To assist in the improvement and maintenance of these standards.
Main Duties
12. General Administration
13. Manage telephones, answering all calls quickly and professionally
14. Monitor the email inbox regularly throughout the day, allocate emails/faxes to the relevant team member
15. Manage incoming/outgoing post
16. Manage stationary, ordering supplies when necessary
17. Provide administrative support for company correspondence
Human Resources
18. Handle all enquiries and requests promptly.
19. Administration of employee contracts and DBS checks
20. Maintain accurate employee records electronically.
21. Input leaver information into the HR database to ensure inclusion in the monthly payroll.
22. Respond to external reference requests according to Company policy.
23. As required, check/log sickness or holiday data/forms onto the HR database.
Quality Assurance
24. Collate and analyse all Client survey data and quality assurance programmes as requested.
25. Ensure that the Company’s administrative procedures comply with data protection legislation and the Company’s policies relating to confidentiality.
26. Support the Company to achieve best practices concerning service provision.
Health & Safety
27. Become familiar with all policies and their practical implementation concerning Health and Safety, including accident reporting and fire procedures.
28. Undertake essential training as required.
29. Assist the managers in undertaking periodic risk assessments of the workplace.
Experience / Knowledge
30. Experience in organising and providing administrative assistance in an office environment (2 years)
31. Experience in handling a wide range of enquiries from different stakeholders
32. Experience using Microsoft Office packages, particularly Word, Excel, PowerPoint, Outlook, SharePoint, Xero and Birdie.
33. Experience in HR administration
34. Experience in Health and Social Care (Required)
35. A working knowledge of health and safety, safeguarding and data protection
Qualifications
36. GCSE English & Maths (Required)
37. Level 2 in Health and Social Care (preferred but training offered)
Skills and Abilities
38. Ability to work on own initiative with minimal supervision
39. Ability to understand and interpret company policies into requirements of own job role
40. Good interpersonal skills and the ability to form a cohesive team
41. Excellent word processing skills with the ability to draft correspondences.
42. Excellent organisational skills and the ability to work to deadlines
43. Ability to communicate effectively, both orally and written.
