As our Facilities Manager you will contribute to this by managing the buildings and associated services in a sustainable manner, ensuring a safe, welcoming and effective environment while minimising environmental impact.
The role is based at our head office in Rugby, Warwickshire. You will be the first point of contact for anything maintenance related, understanding how the building operates to ensure the facilities are maintained to a very high standard and support IChemE staff, Trustees and volunteers in delivering on our vision and mission. This requires the role holder to be proactive, collaborative and professionally skilled to identify issues early, assess and decide on appropriate actions and ensure effective implementation. You may deal directly with some issues and minor works, working on other projects and issues with appropriate partners and contractors as required.
Working alongside the Head of HR and others, the role holder has overall responsibility for ensuring a safe and appropriate working environment and ensuring that everyone using the building understands their role and responsibilities. This role is also responsible for ensuring security of the buildings and site, as well as contractors on site, managing their visits to complete reactive, cyclical and planned maintenance.

Main Purpose
Health and Safety:
* Working with our external health & safety advisors, ensure the organisation complies with all current legislation and encourage good practice throughout IChemE.
* Ensure all risk assessments are up to date, accurate and all necessary actions are documented and actioned promptly to mitigate any risk.
* Support and advise colleagues in the completion of risk assessments.
* Ensure all policies relating to health and safety are regularly reviewed and updated in line with any changes in legislation and communicated to all colleagues.
* Ensure all colleagues are fully trained with the necessary health and safety policies and procedures, providing training and support where necessary.
* Collate and record accident, incident, and near-miss information from all areas of the organisation, ensuring further investigation is carried out, where necessary. Identifying and reporting any trends or concerns identified in the reports.
Facilities Management:
* Responsible for the maintenance of all the organisation's owned and rented properties.
* Responsible for the preparation and implementation of a rolling 5-year maintenance plan, including the identification of any major works that may be required.
* Project manage any major works and ensure they are carried out safely in accordance with the project plans and agreed budgets.
* Be proactive and support IChemE in meeting its commitments to sustainability and working towards net zero.
* Schedule and record maintenance and service provisions for buildings and equipment, such as fire systems and lift maintenance, ensuring that necessary inspections and certifications are carried out as per the requirements of insurers and current legislation.
* Manage and procure contracts for facilities, ensuring where possible, efficiencies are identified.
* Work with the Head of HR and Facilities to prepare a 5-year rolling budget for all building maintenance costs and any identified major works.
* Manage the stores, ensuring stock is replenished and organised for any orders.
* Compile reports for the Net Zero Working Group meetings with collated actions from premises audit returns and risk assessments.
Administration and Communication:
* Assist departments with marketing, sales, and campaign materials for internal and external use, as well as any events.
* Undertake such other duties as may be reasonably required, consistent with the nature and grade of the post.

Communication Skills:

Qualifications and Knowledge:

Other information:
This is a permanent role based on 37.5 hours per week working full time Monday through to Friday between the hours of 8am and 6pm, although flexibility may be required to meet business needs. The position is based in the Rugby UK office (CV21 3HQ).

Starting salary will be in the region of £30,000 - £33,500 per annum (depending on experience) plus benefits which includes an excellent pension scheme.
