Purpose:
Reporting to the Head of HR Shared Services, the incumbent will provide generalist HR administrative support to the HR Team and wider business.
Main Duties & Responsibilities:
1. Maintaining the HR Databases and systems with accurate and up-to-date information.
2. Effective management of the HR mailbox, ensuring all colleague queries are dealt with in a timely manner – referring queries on to the team when needed.
3. Processing new starter onboarding paperwork, including employment contracts and uploading new starters to our HR Systems.
4. Processing employment contract changes.
5. Processing leavers accurately and in a timely manner.
6. Providing first line advice and guidance on HR queries.
7. Administration of Long Service and Recognition awards.
8. Assisting with benefit enrolment, changes, and inquiries.
9. Supporting on the approval and processing of expenses.
10. Ensuring a high level of accuracy and timely processing of leavers, new starters, and other administrative duties that impact payroll to avoid under/overpayments.
11. Support in the production of HR Data and MI.
12. Assist in the production of org charts, ensuring they are accurate and up to date.
13. Supporting on management upskilling and coaching managers on self-service.
14. Supporting in meetings on ER cases as required.
15. Assisting with HRSS and wider HR projects including: TUPE, System Build, and HR Strategy as required.
Knowledge, Skills, Qualifications, and Experience:
1. Strong IT skills - A working knowledge of HR & Payroll systems/databases; working knowledge of Microsoft Word and Excel.
2. Experience of working within a fast-paced environment.
3. Clear communication skills both telephone and email.
4. Ability to work on own initiative and prioritise.
5. Attention to detail.
6. Good literacy/numeracy skills.
7. Experience in working to service targets.
8. Ability to handle sensitive issues in a discreet and professional manner.
9. Demonstrate the ability to follow processes and procedures.
10. Relevant HR Qualification and CIPD membership preferred but not essential.
11. Tact and discretion when dealing with confidential information.
