Role Overview:
We are seeking a dynamic and proactive Office Manager to ensure the smooth and efficient running of our office, both physical and virtual. This pivotal role involves overseeing office operations, managing suppliers, maintaining office equipment and IT infrastructure, and providing administrative support across various functions. You will also support our sustainability management, recruitment processes, manage health and safety protocols, and oversee internal events.
As the Office Manager, you will play a crucial role in fostering a positive and inclusive team culture. You will ensure that our office environment is welcoming and supportive, helping to create a space where employees feel valued and empowered.
Responsibilities:
1. Office Management:
o Coordinate maintenance activities and maintain stock levels to ensure the office is well-equipped.
o Ensure the office environment is conducive to productivity.
o Oversee and project manage office environment improvements.
o Open the office daily, ensuring readiness for employees.
o Develop and implement office processes to boost operational efficiency.
2. Technical Support:
o Oversee IT equipment, ensuring functionality and addressing issues promptly.
o Manage external IT suppliers.
o Maintain the Fixed Asset Register.
o Conduct daily equipment checks and order necessary equipment.
o Troubleshoot ongoing issues.
3. Reception Duties:
o Answer the main reception phone.
o Meet and greet clients and guests.
o Manage incoming and outgoing post and deliveries.
4. Supplier Management:
o Liaise with suppliers to ensure timely delivery and quality of office supplies.
o Negotiate contracts and manage vendor relationships.
o Serve as the point of contact with building managers.
5. Health and Safety:
o Implement and monitor office health and safety protocols.
o Ensure compliance with health and safety regulations.
o Manage office fire marshals and first aiders.
6. Event Management:
o Lead on all internal events and meetings.
o Plan and execute events within set budgets.
7. HR and Departmental Administrative Support:
o Support the Head of People and Operations.
o Provide occasional EA support to the CEO during annual leave cover.
o Assist with office and HR administration as needed.
8. Sustainability Management:
o Lead on sustainable initiatives and team engagement.
o Manage sustainable accreditation processes.
Essential:
* At least 4 years experience in office management or administrative leadership roles.
