Administration Assistance & Water Sports Centre Manager (AAWCM)

Reports to: RTC Principal and Executive Committee (EC)
Term: Full time, permanent (35 hours per week) Monday to Friday - 9am - 5pm, with 1 hour lunch break.
Location: Ballyholme Yacht Club (BYC), Bangor, Co Down
ROLE OVERVIEW
The WCM role within Ballyholme Yacht Club will be key to implementing the development and progression of water sports pathway opportunities at BYC for members and the local community. As an RYA Recognised Training Centre, BYC offers a variety of water-based activities to encourage participation for all ages and abilities, to support skill progression, and personal development.
The WCM will work in collaboration with Club committees, sport’s governing bodies, external organisations, charities, class associations, volunteers, coaches, instructors and officials, to plan future projects, events and courses, to achieve targets and drive revenue generation for training and water sports activities.
The WCM will conduct routine admin duties in the BYC Office as detailed in the Key Responsibilities.
KEY RESPONSIBILITIES
* Act as key contact, managing enquiries with calls and emails in a polite and professional manner, supporting the process of sign up for new members.
* Assist the EC with any tasks, including liaising with key contacts and organisations to meet statutory requirements, such as licensing and health and safety.
* Manage Club bar stock and order supplies in conjunction with the Bar Convenor and Supervisor.
* Liaise with relevant suppliers, consultants, members and staff to maintain the Club’s premises, equipment and other assets to a high standard, as directed by the EC.
* Maintain and update the Club’s policies and procedures, as directed by the EC.
* Promote and assist in the administration of sailing events, training courses and social activities.
* Support administration of the Clubs’ resources (rooms/grounds/equipment).
* Direct Debit management, reconciliation of customers’ accounts, suppliers and bank statements, recording of bar revenue and bar staff hours.
* In conjunction with and as directed by the Club Treasurer, operate effective financial processes and controls, through prompt invoicing and prioritisation of supplier payments.
* To assist the Club’s external accountant and bookkeeper with financial reporting, including the annual audit.
* Use of social media, websites, and local advertising, to effectively market the Club’s activities and events.
* Manage web-based booking systems for courses and events, and other routine website updates.
* Collating content for weekly members’ email Bulletin.
* Implementing the BYC Development Plan.
* Manage budget for future training delivery, equipment, racing development and coach CPD.
* Manage and support the Coaching team within BYC, enabling CPD opportunities across a variety of the water sports pathways, working in collaboration with external mentors, officials and volunteers when required.
* Maintain and monitor the register of water sports coach qualifications annually: AccessNI checks, safeguarding, RYA qualifications, driving licence etc.
* Coach appraisals as applicable.
* Manage the training calendar for courses, projects and CPD, allocation of equipment and resources as applicable, and coaches.
* Participant tracking, monitoring and feedback across the year to understand trends and areas of need within the Club. Reports from this to be shared with the Sailing Committee and RTC Principal.
* Work in collaboration with other local clubs, societies, industry bodies for future events or projects to help increase club resource utilisation throughout the year. On occasion this will require travel offsite, including overnights to attend events and conferences.
* Opportunity to support the club as SI or coach when applicable, to help delivery of courses and retention of personal qualifications.
* Support the Bosun in equipment checks and maintenance of club training resources. Report any damage or defects regarding equipment.
* Work in collaboration with the EC and RTC Principal preparing any grants or award nominations (to recognise and celebrate achievements of the club and its members).
* Prepare reports and presentations as necessary, relating to the post.
* Represent BYC when applicable at in house and external sporting events.
May require working occasional evenings or weekends (TOIL) as part of normal weekly working hours (to be agreed with Line Manager in advance)
PERSON SPECIFICATION
* Committed to making an impact within the water sports industry, supporting physical activity, retention of members for the club and creating new water sports experiences.
* Experience managing a busy water sports training environment.
* Understanding of financial management and working with budgets.
* Self-motivated with the ability to work unsupervised, and support others within their role.
* Strong communication skills and ability to establish good working relationships with customers, volunteers and coaches.
* Knowledge about water sports pathways.
* Has a minimum of 2 years as an RYA Senior Instructor (any discipline) or Powerboat Instructor (inc Safety Boat).
* Understands the importance of EDI and is committed to creating an inclusive culture within the club.
* Full clean driving licence
* A right to work and reside in the UK.
* Working knowledge of MS Office suite, Excel, Outlook, Word.
* Has 2 years minimum experience working in an office environment.
DESIRABLE QUALIFICATIONS AND EXPERIENCE
* RYA Dinghy Instructor (if only PBI)
* RYA Race Coach level 1 / 2 / 3
* RYA Powerboat Instructor
* RYA Windsurfing Instructor (to Intermediate level)
* RYA Wingsurfing / Wingfoiling Instructor
* BSUPA Level 2 Instructor
* Full UK Driving Licence
* RYA Safe and Fun (valid 3 years) or equivalent Safeguarding Qualifications
* RYA First Aid Qualified (valid 3 years)
