To become a member of our Receptionist and Administrative Team. We are looking for an enthusiastic and motivated person who is able to work both independently and as part of our General Practice Team. The person is required to have a caring and empathic nature as part of the role is to act as a Care Navigator assisting patients when booking appointments and with their queries.
Main duties of the job
Duties of the role include but are not limited to:
1. Greeting patients, answering questions, and looking into queries.
2. Care Navigation, using the clinical system (EMIS) and other software programmes to make appointments, booking interpreters, and dealing with test results, referrals, medication requests, and letters from secondary care and community services.
3. Responding to tasks from clinical and non-clinical staff.
4. Liaising with external community services and emergency services.
5. General administration.
6. Attending meetings and undertaking training in various areas, including care navigation, note summarising, and monitoring of patient recall systems.

Receive and assist patients in accessing the appropriate service or healthcare professional in a courteous, efficient, and effective way. Provide general assistance to the Practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.

2. To have a thorough knowledge of all Practice procedures.
3. To work in accordance with written protocols.
4. Scanning of letters and relevant correspondence into medical records using Docman.
5. Email and photocopy as requested by clinicians or other members of the Practice or wider Team.
6. Patient notes and correspondence: Retrieve and re-file records as required, ensuring strict alphabetical order is adhered to.
7. Ensure correspondence, reports, results, etc. are filed promptly and in the correct records, ensuring that all recent correspondence is available when patients are seen.
8. Ensure records are kept in good repair with all necessary information on the outside cover clearly visible.
9. Induction and training of all new staff to agreed standards.
10. Maintenance of Immunisation register.
11. Maintenance of Cervical Cytology system.
12. Maintenance of Child Screening system.
13. Maintain Practice morbidity register.
14. Ensure that all new patients are registered onto the computer system promptly and accurately.
15. Monitoring patient call and recall systems.
16. Extraction of necessary data from clinical correspondence and input into Electronic Patient Record.
17. To ensure the efficient running of the Practice computer system, carrying out searches, audits, and recalls as required by the doctors, nurses, and manager.
18. Report faults to software supplier and track progress.
19. Daily administration of system backups and electronic links to the Pathology Laboratory and local Health bodies.
20. Set up and run clinical searches.
21. Note summarising and sorting patient records and letters in preparation for summarising.
22. Reviewing medical records and producing an accurate summary of the patient's medical history.
Person Specification
Qualifications
* GCSE grade A to C in English and Maths.
* Good interpersonal and communication skills.
* Ability to provide quality care.
* Experience of working as a receptionist/administrator in General Practice.
* Experience in the use of EMIS Web.
