This new role is for both Orphans Press and our sister agency, eighteen73.
We love our customers and this role is to make sure we show it from the minute they pull into the car park. We’re calling the role Receptionist but we don’t see it being anchored to a desk. It covers lots of elements which together form part of the visiting customer experience. The right person will do most of these naturally because they have a friendly demeanour, an interest in people, care for the presentation of their surroundings and a genuine appetite to help customers or colleagues.
Part of the role will be to welcome visitors and steward them in the right direction; customers may know they are here to see Orphans or eighteen73 but others will need your guidance. A cup of tea or coffee is always appreciated. Your welcome is important and sets the tone for the rest of the visit. We’d like you to be the guardian of the reception area so it looks smart and tidy. If you have green fingers you can treat the plants to a little TLC, and even those outside when the weather allows.
A good phone manner is important but more so is having an interest and awareness of who does what in the building and the main projects on the go. This will help you to route customers to the right person and over time we would expect you to use our online systems to make this seamless for the customer.
About the Role
* Meeting and greeting visitors/clients
* PA to the managing director, helping to keep her diary
* Assisting with tasks like preparing meeting rooms, making drinks and managing office supplies.
* Ensuring all visitors have signed in and out in accordance with fire procedure
* Promptly answering incoming calls, taking messages and transferring calls to the relevant staff member.
* Using our PrintIQ system to assist customers with their print order status
* Contacting customers when the completed print job is ready for collection
* Taking payments over the phone or in person
* Paying cheques into the bank (yes, we still get some!)
* Preparing post daily and updating the Royal Mail system
* General housekeeping including keeping plants alive and helping with our recycling efforts (we are big into sustainability)
Your Skills
* Written and verbal communication skills
* Multitasking and prioritising
* Problem-solving
* Ability to work under pressure
* This role is based in our offices in Leominster, and a full UK driving license is preferred
* You’ll be reporting to our Studio Manager
* This is a permanent position, full-time or a part-time job share can be discussed
* Salary is competitive and commensurate with experience
* There is room for this role to grow and expand to suit the individual
