Job summary – What to expect: We have an exciting opportunity to join our EMEA Commercial Operations team as a Contracts & Administration Manager. This role is responsible for the contracts process for a defined list of accounts and markets, as well as the continued integration of the Specialty EyeCare (SEC) business entities into the regional contract process. In addition, the post holder is accountable for leadership and line management of the Contract Administrator team, who support the contract process across all EMEA markets, inside and outside of the CLM system. The Contracts & Administration Manager and their team are the regional SMEs in the contracts management process and the CLM system. Essential Functions & Accountabilities: Manage the Contract Administrators to ensure all deliverables are timely and correct. Oversee the Contracts Administrators as they support the roll out of new contract policies, general terms, standard terms of business or updates to boilerplates, inside and outside CLM system. Plan the Contract Administrators team workload across ongoing and upcoming requests, to optimize resource and ensure we deliver to demand even when supporting ad-hoc projects/requests. Support team development through appropriate delegation, training, and coaching. Ensuring to promote and retain talent. Lead the contract management process for a defined list of accounts and markets. Additionally, this involves integrating the SEC business units into our standard processes. The process includes reviewing the commercial aspects of the agreement, ensuring alignment to our contracts policies and terms. Gathering appropriate contract approvals where necessary. Drafting contracts using approved boilerplates and liaising with legal where changes are necessary. Escalating as necessary. Responsible for tracking FTI compliance and managing to new or renewal deadlines, proactively engaging with in market commercial teams to initiate requests. Producing training material and delivering training to drive 100% compliance. Liaise with all stakeholders in the contracts management process to ensure the process is updated as needed to capture new requirements or new approvers (for example, new legislation impacting RA/QA process). Promote good engagement with approvers in the process to drive efficiency. Lead the planning to roll-out new contracts policies, general terms, standard terms of business or updates to boilerplates, inside and outside the CLM system. Support CLM go-live projects to drive adoption and successfully embed. Maintain Global/EMEA policy table and other process guidance, SOPs and WIs to support everyone and ensure the Contract Management team remains trained, compliant, and well-informed. Ensure our contracts process is fit to pass an internal audit. Support the Senior Contract Manager in (i) collaboration with our Legal function to drive better understanding of contractual framework in our sales organization and the Sales Operations team, and (ii) identifying continuous improvement opportunities within the EMEA contract process and associated activities. Support and assist in other areas of Sales Operations areas as required. Scope This role has high levels of interaction with Cluster Senior Leadership, Country Managers, Heads of Sales, Finance, Legal, Operations, RAQA, Global Commercials Operations, EMEA and Market Commercial Functions (including Marketing, Customer Marketing, Sales Operations and Professional Services). Qualifications, Knowledge, Skills, and Abilities: Excellent project management, organizational and follow-through skill set. Networking skills and driving best practice. Skills and confidence to communicate and work effectively at multiple levels across the whole organization (oral & written) – Commercial and Operations Strong business acumen skills and analytical. Logical and organized. Must be capable of working with both speed and accuracy, with an excellent attention to detail. Ability to work cross functionally in multi region environments with a desire to understand different market needs and align functions or businesses behind common goals. Advance skill in the use of Excel, Word, PowerPoint and Adobe. Must maintain CooperVision product, policy and pricing knowledge. Experience At least 5 years’ experience as Contract manager or similar. Experience as Project manager is desirable. Experience managing people and operating at senior leadership levels of the organization. Experience working in an international organization, previous exposure to different cultures and languages.
