Job Summary: The Space Planning Analyst is responsible for analysing, optimizing, and consulting on the strategic use of physical space across the company’s facilities. The role involves a blend of analytics, strategic planning, and collaboration with internal and external stakeholders to deliver space solutions that support the company’s growth and operational needs. The Space Planning Analyst also takes a lead in maintaining and enhancing a Neighbourhood Allocation Model, ensuring the efficient and flexible use of office space to align with hybrid working models and evolving organizational demands. Key Responsibilities: Space Utilization Analysis : Assess current space usage, including seating capacity and meeting room utilization, across all facilities. Conduct detailed space audits and maintain data accuracy in space management systems. Identify inefficiencies and areas of opportunity for optimizing office layouts and facilities. Consulting & Advisory : Serve as a consultant to internal departments and leadership on space planning strategies. Provide expert recommendations on space allocation, office design, and future space needs that align with business objectives and workforce trends. Advise on optimal space configurations, renovations, and relocations, ensuring alignment with corporate culture and goals. Provide thought leadership on space solutions that address emerging work trends (e.g., flexible workspaces, hot-desking, and co-working environments). Space Planning and Allocation : Collaborate with space planner, department heads and leadership to forecast space needs and allocate space efficiently, balancing functional requirements with employee experience. Develop comprehensive plans that take into account organizational growth, technology integration, and employee wellness. Develop a Neighbourhood Allocation Model to group employees into "neighbourhoods" based on functional areas, team collaboration needs, and hybrid working schedules. Neighbourhood Allocation Model Development : Maintain and enhance our Neighbourhood Allocation Model that fosters collaboration, increases space flexibility, and optimizes workspace usage. Ensure that neighbourhoods are strategically assigned to departments or teams based on work style, function, and cross-department collaboration. Utilize the model to promote flexible seating arrangements (e.g., hot desking) that support hybrid or remote working while maintaining a sense of community. Collaboration : Partner with departments such as HR, IT, Operations, and Finance to understand space requirements and provide solutions that meet evolving business needs. Serve as a liaison between internal stakeholders and external vendors or consultants (e.g., architects, designers, furniture vendors) to implement space planning initiatives. Consultancy for External Projects : When required, provide consultancy services for external partners or clients. Analyze their space usage, recommend strategic solutions, and assist in implementing space optimization projects. Prepare detailed reports and presentations for both internal and external stakeholders, providing data-driven insights to guide decision-making. Forecasting and Reporting : Conduct space forecasting based on company growth projections, workforce trends, and industry best practices. Develop and present reports to senior management that outline space utilization data, future needs, and strategic recommendations. Space Management Software : Utilize space management software (e.g., AutoCAD, Revit, CAFM/IWMS systems) to maintain accurate floor plans and manage space-related data. Develop tools and dashboards to visualize space utilization and track the success of space allocation strategies. Project Management : Lead and manage space planning projects such as office expansions, relocations, and redesigns. Ensure projects are executed efficiently, within budget, and aligned with organizational goals. Coordinate with external vendors, including contractors and furniture suppliers, to ensure smooth project execution. Compliance and Standards : Ensure all space planning and workplace design complies with corporate standards, building codes, safety regulations, and environmental sustainability goals. Help develop and implement policies and procedures for space planning, ensuring that workplace strategies align with organizational objectives. Trend Analysis and Continuous Improvement : Stay informed about industry trends in space planning, including emerging technologies and best practices. Analyze trends in workplace design, hybrid work models, and sustainability, and apply these insights to continuously improve space planning processes. Explore innovative solutions like flexible work environments, neighbourhood concepts, and employee-focused spaces. Qualifications: Experience : A proven track record in space planning, facilities management, or a related field, with a strong emphasis on consultancy and strategic space planning. Experience with space management software and neighbourhood allocation models is essential. Skills and Competencies : Proven ability to consult and advise on strategic space planning initiatives Strong analytical and problem-solving skills with the ability to interpret complex data Proficiency in space planning software (AutoCAD, Revit, CAFM, IWMS) Excellent communication, interpersonal, and presentation skills Experience in developing and implementing neighbourhood allocation or flexible workspace models Knowledge of building codes, safety regulations, and workplace trends (e.g., hybrid work models) Project management skills with the ability to manage multiple projects and deadlines Strong attention to detail and organizational skills Certifications : Certification in Facilities Management, Space Planning, or Workplace Strategy (e.g., IFMA, CoreNet) is a plus.
