Act as a trusted liaison between fee earners and clients, communicating with central teams to facilitate smooth outcomes. Assist the private client team with client liaison, progressing client files, and performing administrative tasks.
* Key point of contact for the Private Client team
* Assist fee earners in progressing client files, including speaking to clients and passing on correspondence
* Initial client liaison, providing detailed notes of enquiries and tracking progress
* Land registry, bankruptcy, and lawyer check searches
* Regular communication with professional bodies, such as banks and HMRC
* Arranging invoice payments and preparing cheques
* Drafting correspondence to investment managers and clients
* Setting up payments to beneficiaries
* Preparation of Wills, Codicils, and other documents
* Basic account reconciliation in Excel
* Drafting client contract letters and initial letters for probate files
* Collating information for fee earners ahead of client meetings
* Filing and file management
* Updating Aderant and case management systems
* Handling incoming/outgoing post
* Diary management for senior fee earners
* Recording expected payments and claiming unreferenced payments
* Engrossing Wills and ancillary legal documents
* Liaising with paralegals and other team members
Requirements:
* Previous legal secretarial or office administrative experience in a Private Client team or legal services environment
* Organised and methodical approach
* Confidence with IT systems, including Microsoft Word, Excel, and PowerPoint
* Ability to work well in a team and develop good working relationships
* Confident interpersonal skills and high levels of emotional intelligence
* Highly enthusiastic and willing to go the extra mile
