We are seeking to recruit a proactive and diligent Operations Executive to support the delivery of operational requirements for all brands within the group - primarily within the Barmy Army Travel function. This role is primarily focused on supporting the planning and delivery of overseas tours whilst also supporting wider operations function across other business units where necessary.
The Operations Executive will have experience in the travel industry and understand the fast-paced nature and tight deadlines associated with delivering major events and tours.
Responsibilities include:
* Liaise with airlines, transport and accommodation providers throughout the pre-delivery and delivery process ensuring supplier deliverables are on track and achieved in time and on budget
* Build tour packages within the SES booking system, ensuring that all details are accurate and up to date during the pre-sales and sales period
* Monitor and control tour stock within the SES booking system, providing updates to the wider team and resolving stock queries
* Daily use of SES booking system to manage bookings and tours
* Working with the sales team to expedite enquiries and give accurate sales prices for any deviations to standard packages
* Create detailed and accurate client final tour documents
* Logging, monitoring and reporting on supplier stock hand back and payment deadlines
* Research excursions and activity programs for clients to book prior to tours departing
* Working closely with the marketing team to ensure all information is correctly displayed on the website and any travel related marketing communications
* Working with suppliers and internal staff to ensure that all Health & Safety Audit requirements are complete and accurate
* Create detailed and accurate Tour Managers packs
* Coordination of Tour Managers on tour to include daily briefings, troubleshooting, crisis management
* Coordinate Tour Manager tour travel plans from flights to accommodation
* Coordinate client travel logistics on a large scale in location on tour
* Research and source accommodation for tours
* Collaborate with the customer service team to enhance the customer journey and resolve any operational issues that arise, maintaining the aim of customer delight.
* Manage and work with the operations team to deliver a successful UK ticketing, membership and merchandising programme.
* Handle inbound customer service calls relating to Membership, Ticketing and Tours.
Personal specification
* You will have at least 2 years’ experience in an operations or commercial role within a travel company or events company.
* You will display a high degree of accuracy in your work while being extremely customer orientated, delivering very high levels of service.
* You will have the ability to manage your workload effectively, demonstrating you are well organised and flexible with competing priorities while maintaining attention to detail.
* You will have a genuine enthusiasm for, and understand the importance of the customer experience, and ensure the company delivers memorable tours for the clients.
* You will be solution driven and seeking constant improvement.
* You will enjoy being part of a collaborative, fun team environment, working together to deliver the highest standard of customer service.
* You will have good geographical knowledge of the main Test Cricket nations and a strong interest in our main sport, cricket, or a desire to learn about it.
* You will have excellent written and verbal English and be highly numerate.
* You will have good working knowledge of either Microsoft office and/or Google Suites, including a very strong knowledge of excel and be keen on the benefits of technology to provide a better operating environment.
