Job Description:
A Letting Agent is responsible for managing the rental of properties on behalf of property owners. They act as intermediaries between landlords and tenants, helping to match suitable tenants to available properties, ensuring compliance with legal requirements, and overseeing all aspects of the tenancy process from start to finish.
Key Responsibilities:
Property Marketing and Advertising:
Advertise properties for rent.
Conduct property viewings for prospective tenants, highlighting the property's features and answering any questions.
Provide expert advice to landlords on market trends, rental values, and how to best present their properties.
Tenant Sourcing and Screening:
Identify potential tenants by assessing their needs and preferences, and match them with suitable properties.
Conduct thorough background checks, including referencing, credit checks, and employment verification to ensure tenants meet rental criteria.
Coordinate and organise property viewings and offer feedback to landlords.
Negotiation and Lease Agreement Preparation:
Negotiate rental terms, including rent, lease duration, and any special conditions, ensuring both landlords and tenants are satisfied.
Draft and prepare tenancy agreements that comply with current property laws and regulations.
Collect necessary documentation from tenants, such as identification and proof of income, and ensure all required deposits and initial payments are made.
Customer Service:
Build and maintain positive relationships with both landlords and tenants to ensure high levels of satisfaction.
Resolve tenant issues or complaints promptly and professionally, ensuring the tenant's concerns are addressed.
Provide landlords with regular updates regarding property status, maintenance issues, and tenant feedback.
Compliance and Legal Duties:
Ensure that all rental properties comply with relevant local, regional, and national laws and regulations, including gas safety certificates, electrical checks, and fire safety requirements.
Advise landlords and tenants on their rights and obligations under the tenancy agreement, and handle any disputes or issues that may arise.
Stay updated on changes to rental laws and regulations to ensure full compliance.
Rent Collection and Financial Management:
Oversee rent collection, ensuring payments are made on time and follow up on any late payments.
Provide landlords with regular financial reports related to rent income and property management costs.
Administrative Tasks:
Keep accurate records of property listings, tenant details, and tenancy agreements.
Handle the documentation for new tenancies, renewals, and terminations.
Maintain up-to-date files for all clients and tenants in line with company policy and data protection regulations.
