The 1UL team is a dedicated ‘micro agency’ within Ogily. You’ll be working with the Senior Resource Manager and PM team to assist in resourcing projects across multiple disciplines including Strategy, Creative and Design. While 1UL has it’s own resource pool, you’ll also need to work closely with the wider agency for additional resource requirements, as well as resourcing freelancers as and when needed. As a Resource Administrator for the 1UL team you will report into the Senior Resource Manager to lead and manage the administrative tasks that come with resourcing a busy creative studio. You need to be focused and have the ability to manage varying daily challenges whilst working in a fun and exciting team environment. Main Responsibilities Support the Senior Resource Manager on the upkeep of resource requests on our platform Wrike. Review and approve Freelancers’ timesheets on Yuno Juno, our freelancer management platform. Manage and maintain accurate timesheet reporting to ensure accurate job burn reports for all projects. Manage the process of all new freelance bookings including: Identify and schedule bookings of the best creative talent Draft and issue all freelance contracts, including contract extensions. Set up emails for new freelancers and disabling the accounts once the contract is complete. PO creation on Maconomy (Ogilvy’s finance platform. Keep Talent tree (Ogilvy’s talent management platform) up to date, ensuing all bookings are added, extensions/re-hires and leavers are reflected. Support the Senior Resource Manager with tracking and upkeeping of finance trackers on Freelancer spend. Attend weekly resource meetings, keeping communication channels with the 1UL team to advise and inform on resource decisions. Work closely with the Senior Resource Manager on current processes, constantly reviewing and improving. Support the Senior Resource Manager to respond to resourcing queries across the 1UL Team. Manage holiday requests and approvals in Maconomy and Wrike, ensuring the Senior Resource Manager always has the most up to date information regarding resource availability. A bit about you: 1-3 years’ experience working in a Resource Assistant / Studio Assistant role within an agency / inhouse. Excellent interpersonal and communication skills. Experience with Resource/Project Management software. Experience in resource management (plan, request, allocate, load-balance) Extremely detail oriented and a proven ability to multitask. Attention to detail and organisational skills. Clear, strong communication skills. The ability to work within a high-pressure environment. Eagerness and willingness to learn with a passion for the work. Ability to respond quickly and efficiently to multiple requests and frequent changes in resourcing schedules.
