Knight Frank is looking to hire a Property Management Business Support Coordinator to join our PAM team based in Sheffield or Manchester.

Role:
A key part of the PAM team based in Sheffield or Manchester, acting as first line support to Property Managers and Surveyors. To actively undertake property related administration tasks in a professional manner and to provide administrative support diligently and competently as directed. To learn all aspects of property management leading to taking a greater level of responsibility.
Responsibilities:
1. Act as first line administrator responsible for the upkeep of tenant records, data management, file structure, fee raising (contractual and ad-hoc), turnover collection, preparation of management client reporting, inspection management, service charge budget and reconciliation pack preparation, utility recharging.
2. Assist with set up and maintenance of all files and record keeping.
3. Take responsibility for data gathering as reasonably requested and delivering all records and reports to the highest possible standard.
4. Assist and support delivery of retail management function and assist with operational issues to ensure satisfactory resolution.
5. Assist the surveyors and finance team and act as a coordinator for credit control, ensuring that queries are responded to in a timely manner and reports kept up to date, ensuring further that arrears are collected as quickly as possible.
6. Retrieving property records and electronically filed information and data on landlord and KF systems.
7. Be responsible for the timely processing of write off instructions on our client’s database, ensuring that all supporting documentation is compiled and accompanies the application. Deal with any client queries quickly and effectively to ensure write off requests are processed.
8. Act as first point of contact for incoming enquiries (via phone/email or in person) to the wider offer (along with the Office Business Support & Administrative Team). Assess enquiries and direct as required.
9. Data capture from enquiries, including database management/processing, adhering to GDPR guidelines and ensuring internal systems are utilised and kept up to date.
10. Client Due Diligence support – assist surveyors in creating and managing records, liaising with the CDD teams to ensure full compliance with guidelines (training provided).
11. Other administration related tasks as directed by the KF team from time to time.
Key Experience Required:
1. Experienced administrator
2. Desire to progress and develop within the property management industry
3. Good IT skills with a significant emphasis on Excel.
4. Ability to work effectively as part of busy team and to manage different work streams effectively
