We are seeking an organised and proactive Sales Team Administrator to support our dynamic sales team. This is a key role within our team and your contribution will help maximise the efficiency of the Real Estate Sales team and contribute to achieving sales targets while delivering exceptional service to our clients.
Reporting to the Director of Real Estate Sales, this role is based at the Grouse House within the Taymouth Castle Estate and is not a work from home role although at certain seasonal times this may be considered.

The primary responsibility of our team administrator will be to manage all our sales prospect arrivals, itineraries, and the day-to-day operations related to guests accommodated within the Castle, Boathouse, or Glen Lyon Estate. You create a welcoming and organised environment, ensuring the Grouse House always looks at its best, working with the wider team within Residential Services in creating the right atmosphere that mirrors the backdrop of our unique and breathtaking location.
Acting as the central point of communication for our sales team and visiting members and guests. Communicating with the wider castle team especially Member Services and Outdoor Pursuits, ensuring updates are shared seamlessly and events are managed in real time.
Overseeing the sales journey set out by DLC and the onsite Director, understanding fully each individual sale, tracking and ensuring no steps have been missed within the process. Engaging with members and prospects at the Grouse House or at other locations. Researching and having a genuine interest to be able to provide effective and engaging sales tours, ensuring our prospects experience Taymouth Castle at its best.
You maintain and update the sales calendar for the team making sure each appointment or event is scheduled and covered. Flexible, you jump in to support at weekends, helping during events, using company vehicles to drive prospects around the estate if needed.
Managing our CRM platform. Maintaining the sales inventories and assets and that all entries are completed and up to date to allow for daily, weekly and monthly viewing by the Director of Sales. Including a weekly digital sales report for the leadership team, you maintain an up-to-date sales and prospect tracking in the system.
Effectively managing the administrative aspects of the sales office from iPad subscriptions and data levels to software updates being current and internet ready. Monitoring inventory levels of any printed material used within sales and marketing while keeping a close eye on stock levels and an inventory of SWAG bags.

Previous experience in a similar role and/or environment would be a distinct advantage, but not essential as full training will be given. You will have a good working knowledge of CRM platforms and sales reporting. And be comfortable driving company vehicles when needed.
This is a role that is on location based and not a work from home, due to the fast-moving pace of the position and the flexibility in adapting to the needs of the sales team and the department. Those are essential to be successful in this opportunity, together with your availability during event weekends, and to meet deadlines with occasional extra hours to your working day.
