The Team
The Office Administrator role is a full time, in office position based in our Tanfield Office, Edinburgh. Within the role you will report directly to our Facilities and Executive Support Manager and will complete all administrative activities in support of office employees and other home working employees.
You Will Be
* Meeting and greeting visitors to ensure they are welcome and determining the nature and purpose of their visit to direct or escort them to a specific meeting room or office.
* Arranging travel for incoming guests, candidates, and occasionally employees including coordinating transportation to/from the airport, hotel reservations, and airfare in accordance with company travel guidelines.
* Accepting, collecting, sorting, distributing, and preparing incoming mail and other deliveries.
* Taking mail to the post office as required and preparing documents for courier pickups.
* Monitoring and maintaining appropriate levels of office supplies.
* Collaborating with leaders to coordinate onsite and local meetings and events, including booking meeting space, ordering food, coordinating hotel arrangements, and managing other meeting details.
* Acting as the main point of contact for building facilities for communications, protocols & procedures, work orders, parking coordination, and other relevant tasks.
* Processing bank deposits, expense reports, and purchase orders (POs) for the office and as needed by other departments.
* Supporting the compliance of the Health & Safety policy in the office including educating new hires, leading the building wardens, attending building meetings, and updating collateral where necessary.
You Will Bring
* High School diploma or equivalent.
* Strong working knowledge of Microsoft Office packages (Word, PowerPoint, Outlook, and Excel) at intermediate level.
* Demonstrated good communication skills both written and verbal.
* Ability to communicate information accurately, clearly, and as intended.
* Pro-active attitude with ability to stay focused and maximize time efficiently.
* Excellent organizational and time management skills.
