Utopian Professional Recruitment are delighted to be working in partnership with a leading Scottish based company who are looking to recruit a talented, organised and highly efficient Team Administrator.
You will report into the HR Director and work as part of a highly successful and award-winning business, this is a varied role where you will provide high level administrative and managerial service to the wider business, executive team and HR Director.
Please Note: This role is to cover a maternity contract and fixed term for a period of 12 months.
Your key responsibilities will include:
* Provide support to the after sales department, providing a service to internal & external clients, weekly reporting and minutes, actively improving client service and managing call backs
* Work with after sales colleagues to resolve and assist with any issues which may arise
* Ensure all administration and training of staff are carried out
* Provide executive administrative tasks for all members of the management team including HR Director and Managing Director
* Liaise with the wider group in arranging meetings for employees or external visitors
* Arrange refreshments for any meetings and ensure rooms are set up
* Ensure all paperwork is gathered and organised for Managing Director to submit to wider group
* Manage travel and accommodation for Managing Director
* Coordinate diary invites for management meetings, inhouse meetings and Group Director meetings
* Manage and coordinate any additional training required for staff
* Any HR administrative tasks including holidays, absence, payroll etc
* Processing of monthly expenses
* All administration tasks in relation to stationary orders, letters, requisitions
* All event coordination for internal and external events
* Liaise with Finance and manage credit card processes
* Various reporting for Managing Director and wider business / group
* Support with the recruitment & selection process
* Provide HR Director with any adhoc project support
* Manage any company memberships, charity requests
* Any additional tasks if and when required by the business
To be considered for this amazing opportunity, our client does require the following background / experience:
* Previous experience working within a similar role managing a wide variety of tasks
* Highly organised, efficient and positive attitude

* Strong communication and interpersonal skills
* Confidence to deal with people of all levels
* Ability to use your initiative and think ahead
* Highly organised with the ability to juggle multiple tasks and adapt to change
