Job Purpose:
You will be joining as a Project Manager within the System Transformation team whoare responsible for implementing our in-house developedtechnology. Thistechnology encompasses visit scheduling and call monitoring, client visit andmedication recording, invoicing and payroll processing.The Project Manager is responsible for delivering the system rollout within a branchover a 4-6 week period, working to strict project timelines, as well as communicating
efficiently to senior management on status, risks and process/product changes.As the subject matter expert you will be responsible for delivering both remote(Google Meet) and face to face training to branch staff and carers. You will be responsible for ensuring the end user is comfortable and competent in using the newtechnology following best practice. Cross-team coordination, project management and presentation skills (both written and verbal) are essential. Strong interpersonal skills, and the ability to positively influence are a necessity, as the role will involve motivating others to meet the challenges of adapting to change in an extremely deadline-driven environment.
Key Duties and Responsibilities:
● Implement Cera Tech systems to branches as part of our ongoing integrationsand mobilisations.
● Be the face of transformation and a key contactfor the branch operationsteam during the implementation.
● Onsite support in branches to help branches adopt and use the Cera Techsystems as they go live on our technology.
● You will be responsible for building and managing internal customerrelationships, as they transition onto the new digital platform. Working withboth branch and support office departments to establish their businessrequirements throughout.
●Workonapersonpersonbasiswithemployees initiatingtheproject,helpingtominimiseresistance tochangeandmaximisetheirengagement.
● Collate and manage relevant data required to ensure successfulimplementation, ensuring thorough due diligence of data is maintained.
● Become a Subject Matter Expert (SME) for the Transformation beingimplemented and all related processes, policies and systems.
● Be involved in both face to face and remote training and coaching of new andexisting system users. The training session will be delivered with passion,enthusiasm and with a real focus on how the platform can improve the carewe deliver to our clients.
● Understand and be involved in the development and management ofprocesses and corresponding documentation, providing input, document
requirements and support the design and delivery of training programs.
● Operating and updating the new and outgoing systems as needed during animplementation, ensuring change logs maintained alongside data validation.
● Support the Branch and end users to meet project KPI's outlined during theproject kick off meeting.
● Documenting lessons learned during the implementation and highlighting anyrisks throughout following strict project methodology.
● Ability to communicate effectively to all employees throughout theimplementation process.
● Be the driving force of change pre, during and post implementation, helping support end users throughout the digital transformation.
● Ensure targets and key milestones are met, using project methodologies to
perform governance throughout the project.
● Run frequent check in calls with the branch team to ensure effectivecommunication and escalation during the project delivery.
● Own the project plan and ensure it is kept accurate and up to date withdetailed communication on tasks completed and in progress.
● Complete weekly reports highlighting project achievements as well as any keyrisks, issues, dependencies and decisions.
Person Specification:
Essential:
● Demonstrable project management/assistant experience.
● You must be able to travel over 90% of the time including overnight stays so adriving licence is essential.
● Proven ability to influence others without having positional authority.
● Excellent communication skills, ability to simplify complex topics for nontechnical stakeholders.
● Excellent listening and interpersonal skills with all levels of stakeholders.
● Logical and efficient.
● Excellent IT skills, particularly in GoogleWorkspace or Excel and otherMicrosoft Office applications.
● Very strong organisational and time management skills, able to demonstratethe ability to work to deadlines while working in a highpressure environment.
● Be able to work independently without the need for constant supervision.
● Self-motivator for meeting deadlines and for enthusing service improvement
through effective training and coaching.
● The ability to be flexible, adaptable to change and good at problem solving.
● Ability to solve problems, both independently and by working with teamsacross the company.
● A strong operational awareness, with an ability to understand situations froma user's point of view
● Strong problem solving and organisational skills and the ability to deal withambiguity.
● Attention to detail and the ability to handle complex data.
