£11.44 - £12.31 per hour
This is a full-time post and will be based in the office in Nantgarw 2 days and 3 days at home (subject to review).
The role of Administrative Assistant - Speciality Training is to provide a range of administrative duties across the department which could include supporting National Recruitment, Annual Appraisal Panels, and trainee study days.
To provide information to a broad range of stakeholders including Trainee Doctors, Training Programme Directors, and Health Board colleagues.
To ensure that all trainee information is accurately recorded and maintained on the training database
Summary of role:
You will be expected to:
* Provide and receive routine information from a variety of internal and external stakeholders in relation to speciality training programmes.
* Support the co-ordination and organisation of a range of events and meetings, including recruitment panels, appraisal panels, study days and conferences. This may involve identifying venues, panel members and co-ordination of diaries/clinical schedules.
* Exercise judgement and discretion in the day-to-day handling, monitoring, and filtering of verbal and written correspondence, using initiative to escalate any concerns to the appropriate individual.
* Provide training and support on departmental systems and processes, including digital systems.
* Responsible for updating trainee information using the in-house database, generating, and sharing reports as required.
* Support with raising purchase orders, the receipting of goods and services and maintaining accurate financial records.
* Follow national and local policies to ensure mandated standards of the training programme are maintained.
* Use initiative to plan own workload to meet priorities and deadline in line with departmental policies and procedures, with support available as required.
Qualifications, skills and experience:
* NVQ level 4 Diploma in Business Administration or equivalent experience
* Evidence of recent Personal and Professional Development
* Good organisational skills.
* Good written and verbal communications skills
* Ability to work as part of a team and independently
* Experience of working in an administrative role
* Experience of entering and maintaining accurate data systems
* Experience of working to strict deadlines
* Familiar and competent with Microsoft IT packages, especially Word, Excel, and PowerPoint
* Self-motivated
* Flexible approach to work
* Respectful and inclusive approach to all
