Job Description
We currently have an exciting opportunity for a commercial assistant to join the team for a leading Facilities Management company based in Benson. The role will be assisting the commercial and operational team to comply with all Commercial and administration processes and procedures whilst ensuring a successful project outcome.
Responsibilities
Commercial:
•Maintaining and updating commercial trackers.
•General support as required for commercial and operational teams.
•Ordering materials for site.
•Purchase card administration.
•Entering costs in to CAFM (database) system.
•Preparing quotes for client and updating registers.
•Reporting when work is completed and supporting the commercial team create application for payment.
•Validation and payment of sub-contractor invoices.
•Monitoring generic email inbox and assigning email to relevant owners.
•Auditing
Administration:
•Ordering and maintenance of consumable stock levels
•Process holiday, expenses and overtime claims as required.
•Review Maximo reports and chase outstanding jobs as required.
•Collating engineers reports and timesheets to assist service deliver.
Essential Qualifications/Skills
What we are looking for:
•Experience of COINS (desirable)
•Previous experience of buying/purchasing/invoicing
•Strong Administration skills
•Commercial Assistant (1-year minimum experience)
•Facilities Management Experience
