Job Description
Overview: The People Administrator supports BSC (Education, Group and Young Learners) in ensuring best HR practice is followed. The role provides consistency to the group across its HR procedures, policies and practice. This role will be part of the current People and Performance team and reporting directly to the Senior People & Payroll Advisor.
Who are we looking for?
We are looking for a People Administrator to work collaboratively with our People and Performance team in providing a fantastic service to our colleagues. You will have the knowledge and experience to dive straight in and get involved from day one, whilst having the confidence to ask questions along the way.
With experience of working in the People department, you will bring experience of working practices and have a desire to roll out processes across the Group and coach Managers as required. This role will also enable you to become involved in key projects such as creating the learning and development plan, team handbook updates and new team member Inductions. This is a fantastic opportunity to build upon your Payroll knowledge and experience to continue your professional development.
It is essential that you have experience in managing on-boarding/off boarding (with significant increased for couple of months during summer) processes including enhanced DBS checks, reference checks as well as monthly payroll administrative tasks.
Main Responsibilities include but not limited to:
* Responsible for all Recruitment across the Group. Supporting Managers to compose adverts, interview questions and drafting contracts and offer letters
* Training Managers in good interview skills and onboarding processes
* Complete onboarding including references, DBS, PVG, required Teacher Checks prior to start dates being confirmed, for all BSC groups
* Carry out HR inductions for new starters (as required)
* Manage the people, payroll and recruitment inboxes, ensuring that all emails are handled and responded to in an effective and timely manner with an aim to achieve first contact resolution, escalating queries/issues to the HR Manager when necessary
* Update and maintain our HR System (Personio) and payroll system (ADP)
* Process DBS and PVG renewals and monitor any expiry dates via HR system (Personio)
* Assist the People Team with interim and annual performance reviews
* Assist the People Team with reviewing policies and creating processes/flowcharts linked to the policies and best practices
* Administer all starter, leavers and change processes, including updating the payroll department and drafting variations letters as required
* Respond to general HR & payroll related enquiries
* Accurate input and maintenance of employee data in HR and payroll Systems (ADP and Personio) when processing updates relating to the colleague’s employment cycle. Continuously ensuring compliance to the Data Protection Act and GDPR
* Monitor and chase probation documents, accurately tracking progress on HR and payroll systems and providing initial advice and support to Managers
* Track employees nearing FTC completion dates, working with Managers and Senior People & Payroll Advisor to ensure they are processed correctly
* Manage course bookings for all in-house and external training programs and updating the HR system accordingly
* Carry out regular HR and payroll audit checks
* Collating all the monthly payroll submissions from colleges and completing the monthly payroll inputs via the payroll software
* Working closely with Finance department and external payroll provider for accurate monthly payroll/pension and other pay related inputs and submissions
* Support with note taking if required
* Drafting contracts, offer letter and any other variations letters
* Supporting the Global Director of People & Performance and Senior People & Payroll Advisor with project work

Required experience:
* You must have at least 1 years’ experience in recruitment, HR and payroll administration
* Have excellent administration and organisational skills and ability/desire to amend and adapt processes to improve efficiency
* Excellent written and oral communication skills with a focus on providing excellent departmental services to all
* Willingness to learn and adapt in a fast paced and growing environment
* Excellent attention to detail
* Good working knowledge of Microsoft Word and Excel and standard office equipment
* Able to always maintain a high level of confidentiality
* Able to provide accurate and timely guidance and advice
Desired Qualifications:
* CIPD level 3 qualification
