Responsibilities
1. Drafting and serving S20 notices for major works.
2. Manage portfolio in accordance with RICS Codes of Practice, ARMA rules and landlord and tenant legislation.
3. Provide full professional property management services for a portfolio of freehold/leasehold developments and individual properties on behalf of freehold clients, Developers, and Resident Management Companies, proactively managing in accordance with the management agreement the terms of the lease/agreements and good current practice.
4. Respond to pre-assignment enquiries.
5. Manage in relation to company targets of income and service delivery.
6. Address leaseholders' enquiries pertaining to the development.
7. Respond to all correspondence/emails and telephone calls, including those from Directors, lessees, and tenants.
8. Prepare and draft minutes of Board meetings for approval by the Directors.
9. Understand lease terms and write to lessees/tenants/letting agents regarding any matters that may contravene the terms of the lease, i.e., noise/nuisance, satellite dishes, wood floors, pets, etc.
10. Address any issues that may arise during the management of the properties.
11. Ensure the property operates as smoothly as possible.
Budgets & Accounts
1. Prepare and issue draft budgets to Directors for consideration and agree with the Board of Directors for approval on PMS computer system.
2. Understand service charge and company accounts and explain them to Directors.
Inspections
1. Arrange meetings and inspections for all properties managed.
2. Ensure that all necessary contracts and annual inspections are in place.
3. Conduct regular inspections of properties and act on any necessary works.
4. Ensure that all properties under management have up-to-date Health & Safety, Fire Risk Assessments, Asbestos Surveys, Legionnaires Risk Assessment, and Electrical Reports.
Insurance
1. Ensure all properties in the portfolio are insured, including managing all claims, renewals, and enquiries regarding the policy.
2. Liaise with Loss Adjusters to obtain quotes for remedial works and oversee any emergency repairs.
3. Liaise with Directors to ensure that blocks are re-valued for insurance purposes at least every 3 years in accordance with company policy.
Maintenance
1. Contact contractors to ascertain their availability for works and issue work order forms on PMS, checking with Directors if authorization is required.
2. Monitor contractors' performance, follow through and complete jobs, updating PMS.
3. Prepare specifications for all contracts at blocks managed, including cleaning, gardening, window cleaning, etc., to issue tenders and appoint contractors, ensuring compliance with current health and safety legislation.
4. Conduct regular site inspections to monitor works and keep Directors informed of progress before authorizing any part payment or full payment of contractor invoices.
5. Ensure all contracts and schedules of works for all properties are entered into the computerised system and updated.
6. Inform all lessees and/or tenants of impending works.
7. Regularly monitor contractors' performance.
8. Work with external/in-house surveyors regarding major works contracts, attend progress meetings as necessary, ensure S20 Notices are served, and pay authorized invoices.
Service Charges
1. Monitor expenditure to ensure sufficient funds are available to cover all necessary repairs/works, except in rare emergency situations.
2. Chase arrears of service charge and ground rents due on the portfolio up to the instruction of solicitors.
General
1. Check, code, and authorize invoices.
2. General filing.
3. Any other duties as directed.
