NG Bailey IT Services are currently recruiting an experienced Project Coordinator to join our team.
The post holder will perform all coordination duties to assist the operations team in successfully delivering projects using NG Bailey processes to time, quality, and customer satisfaction.
The Project Coordinator will assist the Head of Projects in ensuring the provision of regular, timely, and accurate reports both internally and externally. They will assist in preparing financial information for internal reporting and ensure all system and process change requests raised during the implementation are validated and agreed upon with relevant parties before implementation.
This is a full-time permanent position. The successful applicant will work from home in a flexible manner; however, they will be required to travel to our Reading Office.
This position is working across military sites; therefore, Security Clearance is required and is a condition of employment. NG Bailey will support with this application if you are eligible.
Some of the key deliverables in this role will include:
* Provide a competent administration service, using time efficiently and cost-effectively, including maintaining data and prompting team members to provide up-to-date information, ensuring the accuracy of any such information provided.
* Assist with the start-up and closing of projects in line with agreed program and cost targets.
* Check end-of-month billing values to Service Partners and ensure all billing to the end client is prepared and checked to be included in each billing run.
* Assist and collate weekly and monthly reports for live projects, attend daily update calls, and ensure all project planned works information is kept up to date with members of the defence team.
* Maintain positive relationships with the project customer through regular meetings online and in person, obtaining feedback, and reporting to the Head of Projects on continued improvement with a view to optimizing future opportunities and profitability.
* Monitor and test continual improvement updates for existing processes, creating new processes as required.
* Possess a clear understanding of working methods and procedures applicable to the industry and apply this to effectively conduct the job role.
What we’re looking for:
* Strong customer service and office administration skills.
* Excellent written communication, particularly for writing processes and technical reports.
* Billing and invoicing experience.
* A solid understanding of the Microsoft Suite (Word, Excel, PowerPoint, Teams, Visio).
* Previous experience with Smartsheets and SharePoint would also be beneficial.
