The Role
As our Office Manager, you’ll play a key role in supporting the smooth running of our organisation. Your responsibilities will include:
* Maintaining excellent communication with clients and associates
* Managing email accounts for company directors
* Scheduling meetings and diary management
* Bookkeeping, invoicing, and basic banking tasks
* Producing and monitoring contracts
* Organising events, including publicity and logistics
* Purchasing and preparing project resources
* Arranging travel and accommodation
* Supporting research projects, including recruitment of participants
* Coordinating team meetings and recording minutes
* Producing quarterly newsletters
* Providing additional organisational support as needed

Job description / duties
* Maintaining excellent communication with clients and associates, ensuring they receive timely communications.
* Monitoring the email accounts of company directors, responding as and when appropriate.
* Arranging meetings for staff and maintaining diaries for company directors.
* Sending, following up and consolidating invoices; bookkeeping of sales, purchases and staff expenses; generating reports for VAT returns; other basic banking tasks.

* Booking travel and accommodation for company staff.
* Recruiting participants and partners for research projects, including working with schools to involve children, and liaising with individual research participants.
* Organising team meeting dates and agendas and recording minutes.
* Leading on the production of quarterly newsletters to be shared with subscribers.
* Working proactively to solve problems and improve/streamline organisational processes.
* Providing further support to Ludicology directors in ways that reasonably align with the expectations of an office manager role.

* Excellent communication skills, with a commitment to high standards of communication.
* Highly IT literate, especially in MS Office suite and Google Workspace.
* Proactive, persistent and self-motivated, with the ability to identify what needs to happen to improve business operations.
* Adaptable and willing to take on organisational duties to assist in the effective running of a small busy business.
Desirable
* Experience in office or project management.
* Experience with apps like Slack and Trello for supporting remote team working.
* Expertise in the use of Zoom (or similar) for meetings, workshops and webinars.
Terms of the role
The appointment is subject to a 6-month probation and training period.
The role is part-time and can be either just term time or all year. Pay and holiday will be adjusted accordingly.
The post comes with 14 days holiday per year (equivalent to 35 days pro rata, including bank holidays), the majority of which is expected to be taken in school holidays.
Successful candidates will be automatically enrolled in the company’s pension scheme.
