Job Description for Medical Receptionist
Role Summary
To provide an efficient, helpful and friendly point of contact for patients and visitors and act as a focal point of communication between patients, doctors and other clinical staff.
Key Responsibilities
* Ensure an effective and efficient reception service is provided to patients and all other visitors to the practice.
* Process appointment requests for the day and future appointments from patients by telephone and in person, ensuring that appointments are booked with the most appropriate clinician.
* Deal with visit requests ensuring accurate recording of all relevant information.
* Take general enquiries and telephone messages, passing them accurately and swiftly to the correct recipient.
* Undertake a variety of clerical duties as determined by need and competency; for example, sickness absence certificates, recalling patients for clinics, scanning letters onto the computer system, adding patient data onto records, processing new registrations, etc.
* Keep the Reception and waiting area neat, tidy and stocked.
* Ensure daily, weekly and monthly reception administrative tasks are completed in a timely manner.
* Help and support colleagues as required, including cover for annual leave and sickness.
* Effectively manage own time, workload and resources.
* Assist in the cancellation of surgeries due to sickness, etc., by contacting patients by letter or telephone.
* Any other duties as required by the Reception Supervisor or the Practice Manager.
Other Duties
The post holder may, from time to time, be asked to undertake other reasonable duties, with appropriate training, and it is expected that agreement to this will not be unreasonably withheld.
Person Specification
Essential
Minimum 2 GCSE’s equivalent to Grades A* - C in English and Maths or equivalent experience.
Skills & Abilities
* Excellent communication and people skills, in particular; good telephone manner; good face-to-face communication skills; accuracy of written communication; the ability to listen; ability to deal with sensitive and complex information.
* Ability to work effectively both as part of a team and also upon your own initiative.
* Ability to work within a set of rules and guidelines (and knowing when to defer to someone more senior).
* Ability to work effectively and accurately under pressure and to prioritise workload.
* Ability to cope calmly with distressing or emotional circumstances.
Experience
* Intermediate computer literacy.
* Prior reception or other experience requiring considerable contact with the public.
* Previous experience as a Receptionist in General Practice with an understanding of the nature and workings of a GP practice.
* Good knowledge of medical terminology.
