Summary
The Business Service Executive will be assisting the Business Services Manager by being the main point of contact for the office – also dealing with daily post, deliveries, organising office repairs, fleet, refurbs etc. Cover for other members of the Business Services team
Key Responsibilities
* Assist in the smooth running of the office
* Ensure the office is kept clean and tidy by all staff
* Inbound and outbound calls
* Checking Shared Inboxes and action requests as required
* Booking Travel / Hotels for all NSI UK company wide
* Updating Credit Card spends with daily spends
* Online orders
* Maintaining records / updating systems
* Meet & greet visitors
* Formatting documents / reports
* Be the Compliance Champion for the office, Weekly fire alarm checks and update spreadsheet, Weekly H&S checks and update spreadsheet
* Check office stock levels and order when required:
* Stationery, office and cleaning consumables
* Fleet – assisting with the management and maintenance of the company wide Fleet (ranging from (Apply online only) vehicles):
* Updating the Main Fleet Check System with any actions, notes, documents etc.
* Check all Fleet for any servicing / MOT’s due the following month and get Drivers to book in
* Update all online Fleet accounts
* Monthly Mileage / CO2 reports
* Assisting in breakdowns, issues etc.
* Ordering Fuel Cards / Sending PIN reminders
* Updating Big Change and Fleet Check with change of drivers or information
* Keeping track of Hire’s – adding to Insurance and all online accounts
* Logging and allocating Company Pool Vehicles and keys
* Organising delivery of vehicles
* Compiling various Fleet reports for other departments & HQ
* Escalating any issues to the Business Support Manager
* Mobile Phones – ordering / issuing / updating spreadsheet and phone list & systems
* Ordering PPE / workwear / ID cards
* Stock check of Branded Clothing / PPE and ordering when necessary
