NPS Mornington Grove - Receptionist
Pay rate: £12.09 per hour after 12 weeks (£13.58)
Contract: March 2026
Responsibilities:
1. Be the first point of contact for the Probation Service and greet individuals on probation and visitors professionally, both face-to-face and via telephone and email. Log their arrival and departure, ensure the appropriate member of staff is notified, and issue visitor passes and security fobs as necessary.
2. Use observation and situational awareness to tactfully diffuse potentially violent situations, recognizing when additional support is needed, whether from internal management or external security/policing, and be alert to conversations indicating safeguarding/risk issues. Take appropriate remedial action, such as emailing the Probation Practitioner and updating Delius.
3. Answer all enquiries at Reception regarding basic information about the Probation Service and local Person on Probation support services, such as food banks, and refer more technical enquiries to an appropriate manager.
4. Manage logistics for the building, including handling all mail items, ordering PPE and office stationery, managing meeting room equipment, taking delivery of items, and ensuring they reach the correct destination. Manage room, hot desk, and car parking bookings, and support meeting rooms including preparing for events and event registration as required.
5. Handle bus fares/travel warrants for individuals on probation and manage day-to-day petty cash, including the collection and transport of petty cash and travel warrants between Probation properties.
6. Assist in maintaining health and safety and security aspects of the building, including acting as key holder, operating physical security, testing fire alarms, monitoring CCTV, and assisting with evacuation measures. Act as Fire Warden/First Aider where necessary and support risk assessments in the absence of a line manager.
7. Log building faults and incidents, keep a maintenance and repairs log, escalate issues through appropriate channels, and make decisions on the urgency of faults to maintain building security. In the absence of the Senior Admin Officer, escort contractors and visitors around the building.
8. Support case administration for Persons on Probation by providing high-level confidential administrative support to operational teams, including processing and updating computer-based and manual files, producing documentation and correspondence, accessing databases for information, and scanning and archiving sensitive data.
