Business Support Assistant – Infrastructure
Location – Solihull
Purpose of the role:
As Business Support Assistant you will support the Regional Manager and Commercial Manager in a wide range of business-related activities.
What you will be doing:
* Extensive diary management, liaising with internal PA’s as and when required.
* Arrange travel and accommodation for the Regional Manager and the Project Leads.
* Arrange travel and accommodation for the Commercial Manager and the Commercial Leads.
* Pro-active email management for the Regional Manager and Commercial Manager, flagging urgent items.
* Provide an ad-hoc administrative service to the Project Managers and Commercial Leads, when required.
* Maintain Holiday calendars for the Regional Manager and the Commercial Manager.
* Undertake various project work as directed by the Regional Manager and Commercial Manager.
* Organise quarterly Project Leaders Forums, including co-ordinating diaries, arranging venues, accommodation and restaurant reservations.
* Organisation of buffets for Project Meetings.
* Prepare and draft agendas and presentations when required.
* Attend monthly Contract Review Meetings to take minutes, distribute, file and follow up actions.
* Attend monthly Project Board meetings to take minutes, distribute, file and follow up actions.
* Attend weekly Health, Safety and Quality Management calls.
* Completion of your monthly timesheet and expenses using Orbit.
* Monthly completion of Builders Profile.
* Monthly completion of Staff Allocations for all Projects.
* Compilation of weekly Construction and ECI reports.
* Assist with ordering IT equipment and hire cars for any new starters.
* Maintenance of the Project Appointments database.
* Annual collation of PDR’s for the Regional Manager, Commercial Manager and Project Leads.

About you:
* Aware of individual Health and Safety responsibilities and adheres to company health and safety policy and procedures.
* Able to demonstrate alignment and work in line with the Galliford Try values - Excellence, Passion, Integrity and Collaboration.
* Able to successfully engage with a wide range of stakeholders using effective and appropriate communication styles.
* Highly organised with the ability to work at pace.
* Able to deliver with a high level of quality and accuracy within required deadlines.
* Able to interpret data and extract key messages.
* Evidence of successful management of complex diary and travel arrangements at a senior level.
* Strong writing and proof-reading skills and able to draft reports in a suitable style.
* Previous experience in a PA/Secretarial role/ Senior Administrator role.
* Fully conversant with the Microsoft suite of packages.
* Willing to travel to site as and when needed.
Desirable:
* Knowledge of Orbit and Viewpoint.
* Knowledge of the Construction Industry.
