An exciting opportunity has risen within the Renal, Respiratory, Cardiology & Vascular CMG for a Medical Secretary to support the Respiratory Administration Team at Glenfield Hospital.
The post holder will be experienced at dealing with customers / patients and able to work with accuracy in order to provide high quality secretarial work.
You should be able to work well under pressure and have the ability to prioritise your own workload possessing excellent organisational skills and being able to identify and escalate any problems to the Management Team in a timely manner.
Main duties of the job
1. To provide leadership for the clinical facing administration teams, and may undertake day to day supervision of the Medical Administration Team/s, induction and training of the Medical Team Administrators.
2. Often being the first point of contact for patients the role is intrinsically linked to the patient journey by supporting the clinical multi-disciplinary team, in line with the UHL Values.
3. To provide a full secretarial and administrative support service to the clinical / medical team/s.
4. To monitor and ensure clinical correspondence is produced and compliant with the Trust quality standards.
5. To provide support and guidance to patients, carers, relatives, company representatives and others making contact with the service.

Job responsibilities
To provide an administrative and secretarial service to the clinical / medical teams.
This will include:
14. To monitor and ensure clinical correspondence is produced and compliant with the Trust quality standards.
15. Manage dictation, ensuring letters are typed, quality checked, stored in the appropriate hospital system and sent out in a timely manner.
16. Managing the Clinical / Medical Teams filing system.
17. Managing the Clinical / Medical Team work diaries and adjusting plans /schedules as necessary.
18. Maintain the office systems for recording and tracing patient records within the department and assist the Records Department in locating patient record.
19. Minute taking.
20. Ensuring consumable stock levels are adequately maintained in line with service needs
