Summary of the Role
The HR and Personnel Assistant role is a new and exciting role for Roundabout, which is now being sought following significant organisational growth. The successful candidate will support the HR Lead and Payroll and Personnel Manager in all aspects of HR and personnel administration duties across the full employee lifecycle, ensuring the smooth running of both functions across Roundabout and to help promote a positive people programme that supports our vision, culture and values.
We are seeking a positive, pro-active and confident individual to assist the HR Lead with building the HR function from the ground up within an organisation where people really are at the heart of everything, enabling the post-holder a real opportunity to make a difference across the organisation. This post requires a strong administrative background and the ability to handle multiple tasks with high attention to detail.
Key Accountabilities
As Roundabout’s HR and Personnel Assistant, you will be involved in a variety of administration tasks to support the HR Lead and Payroll and Personnel Manager, ensuring that Roundabout’s HR practices and procedures are effective and well communicated. The post holder will undertake all tasks required within the remit of this role, including, but not limited to:
* Assist the HR Lead in accordance with statutory requirements and organisational standards, including updating on policy review timescales, assisting with a comprehensive Recruitment and induction programme, and ensuring fair and transparent processes are followed.
* Documenting HR related requests, and ensuring that HR advice, guidance and support are communicated accurately and on time.
* Support the HR Lead to develop, apply and maintain an effective set of HR operating procedures in order to drive efficiency and transactional transparency, communicating respective standards and practices to management and employees where appropriate.
* Support the HR Lead in the implementation of HR policies and procedures across the organisation using a variety of means, including staff meetings, awareness emails, manager training, internal information etc.
* Assist with the full recruitment process to provide a comprehensive recruitment and selection provision, ensuring all processes are followed and documents completed correctly and on time, and in line with safer recruitment practices.
* Support with interview requirements, including inviting candidates to interview, ensuring rooms are booked, refreshments are provided, interview packs are completed and ready for the interview panel when needed.
* Assist with onboarding processes, including new starter information/meetings, setting up of SAGE HR, induction processes.
* Support with offboarding processes, including closing down of SAGE HR accounts, arranging and documenting Exit Interviews, requesting property be returned etc.
* Update HR information system (currently SAGE HR) as and when needed.
* Create and maintain accurate and up-to-date employee records.
* Assist with performance management processes across the organisation.
* Arranging and coordinating meetings as and when required, including ensuring all relevant paperwork is ready and distributed on time.
* Minuting of meetings and following up of any actions arising.
* Assist with writing letters, emails and other correspondence.
* Coordinate training sessions and planning.
* Work closely with the HR Lead to actively promote staff well-being across the organisation.
* Possess an eye for detail, ensuring accuracy and diligence at all times.
* Strong ability to work alone or as part of a team, ensuring a pro-active, and positive attitude at all times.
* Ability to problem-solve.
* To have a good working relationship within the Central Services Department and Roundabout’s service managers and employees.
* To understand the need to treat all information, whether verbal or written, and data confidentially.
* Required to travel to Roundabout’s other premises as and when required. Daily use of a car with Business Class 1 insurance is essential.
Other Duties
* Liaise with other colleagues as necessary for any HR needs, including recruitment.
* Liaise with other departments as necessary to fulfil the needs of required meetings, including: ensuring rooms are booked appropriately, necessary equipment is in place, refreshments organised, relevant documents are ready as required.
* Any other duties required within the remit of this role.
Person Specification
Specific Knowledge, Experience and Skills
* Previous experience in an HR Assistant role.
* Strong administration background, particularly relating to HR tasks.
* Strong organisational skills with high attention to detail.
* Excellent communication skills, both verbal and written and ability to promote active listening.
* Familiarity with HR processes and employment law would be beneficial.
* Ability to help resolve problems or develop innovative processes to improve the department’s productivity.
* Proficient in IT skills, i.e., use of Microsoft Office suite (including Word, Outlook, Excel, PowerPoint) and ability to use and adapt to different types of systems and software.
* Strong minute taking experience.
* Commitment to confidentiality, ability to use discretion and confidentiality-based processes.
* Daily use of own car with Business Class 1 insurance is essential.
