Role Overview:
Provide comprehensive secretarial and administrative support to the Construction Director and Build Team to enhance department efficiency and productivity.
Responsibilities:
1. Support the Construction Director and team with secretarial and administrative tasks.
2. Prepare documentation for meetings, including printing, photocopying, scanning, and binding.
3. Answer and announce office phone calls.
4. Coordinate team diaries and book internal/external meetings.
5. Track and process holiday and sick leave for the team.
6. Manage onboarding and offboarding for new starters and leavers.
7. Create and distribute weekend work rotas.
8. Type and distribute weekly Health and Safety site tour reports.
9. Maintain and update the filing and archive system.
10. Liaise with external consultants and contractors as needed.
11. Coordinate the Health and Safety training matrix.
12. Liaise with other departments within the company.
13. Organize refreshments for meetings with external guests.
14. Ensure high levels of office presentation.
15. Order and manage PPE stock.
16. Perform any other ad hoc tasks as required.
17. Cover reception duties during lunch and holidays.
Skills and Attributes:
1. Excellent communication skills and ability to build rapport with remote team members.
2. Methodical and well-organized.
3. Strong secretarial skills with proficiency in Microsoft Word, Outlook, PowerPoint, and Excel.
4. Discretion in handling sensitive and confidential matters.
5. Initiative and proactive approach.
6. Excellent time management, prioritization, and expectation management skills.
