Position: Legal Secretary/ Assistant
Salary: £23,000 - £26,000 based on experience
Department: Family, Private, Conveyancing
Location: Chichester, Bognor Regis, Selsey, East Wittering
Main Duties
1. Providing full generic secretarial support to fee earners, including preparing correspondence and documents through fast and accurate audiotyping and word processing.
2. Providing enhanced support to fee earner(s) and using own initiative.
3. Using a computerised case management system(s).
4. Preparing and amending documents.
5. Maintaining orderly and up-to-date files, including electronically, and complying with the firm's policies on file management.
6. Closing, storing, and retrieving client files and documents from storage.
7. Completing time recording and other records required by the firm.
8. Preparing mail and enclosures for dispatch.
9. Making appointments and arranging meetings, including liaising with reception staff to organise facilities such as rooms and refreshments, and maintaining an up-to-date diary for fee earner(s).
10. Attending to clients, both in person and on the telephone, and providing support in a professional and friendly manner in keeping with the Company's standards for client care.
11. Ensuring that telephone calls are answered promptly, and messages are passed on.
12. Contributing as a team member, including providing support to other colleagues as required.
13. Undertaking specific training when required by the Company and taking overall responsibility for self-development.
14. Ensuring the confidentiality of all the Company's and clients' information and documentation.
15. Seeking to always protect clients' interests while taking precautions against potential fraud and money laundering.
16. Ensuring compliance is adhered to in all activities.
17. Contributing to the Company's overall business objectives by offering support to other departments when appropriate and agreed by fee earner(s).
18. Being accountable for personal development and seeking out opportunities to learn new skills to continuously improve.
19. Occasionally working from another office location as necessary to meet the needs of the business.
20. Working in a responsible and safe manner at all times, adhering to Health & Safety, safe working practices, and firm policies and procedures.
21. Any other matters reasonably required by the Directors.
Preferred Skills and Experience
1. Fast and accurate audio and copy typing skills, including digital dictation and integrated legal software systems.
2. Experience of Microsoft Office Suite, including Word and Excel.
3. Excellent English grammar/spelling; familiarity with legal terminology and numerical skills.
4. Excellent communication and interpersonal skills, including experience in dealing with a range of clients via telephone and face-to-face.
5. Discretion and confidentiality are essential.
6. Ability to organise and prioritise workload to the required standard and within required timescales.
7. Ability to work effectively within a team as well as independently.
8. Ability to work under pressure.
9. Proactive and able to use own initiative within guidelines set by the Directors and fee earners.
