We are currently looking for a Senior Depot Hire Controller to join our team at our Grangemouth Depot. This is a fantastic opportunity for an experienced hire controller to apply their expertise and play a key role in ensuring smooth and efficient hire operations. As the Senior Depot Hire Controller, you will be the first point of contact for all hire-related inquiries, with a strong focus on managing the end-to-end hire process, coordinating collection and delivery transportation, and overseeing the operated pant function. Key responsibilities include: End-to-End Hire Process:
* Oversee the full hire cycle, from receiving customer enquiries and booking hires to ensuring accurate paperwork, on-time deliveries, and successful collections. Ensure that all processes are efficient and comply with company standards.
Collection & Delivery Transportation:
* Organise and coordinate the transport for timely deliveries and collections of our hire fleet, ensuring everything is scheduled correctly and on time.
Customer Operator Coordination:
* Manage and coordinate customer operators, ensuring the safe and efficient use of equipment at customer sites, and provide operators to our customers as required, offering support where needed.
Customer Service & Communication:
* Act as the first point of contact for customers, responding to inquiries, providing support throughout the hire process, and resolving any issues that arise.
Documentation & CRM Management:
* Generate accurate hire documentation, including contracts, delivery/collection notes, and invoicing.
* Ensure that all records are accurately logged in the CRM system and InspHire software.
Fleet Utilisation:
* Regularly check asset availability, ensuring equipment is ready for hire and maximising fleet utilisation by efficiently managing stock levels and bookings
Sales Support:
* Assist in converting customer inquiries into profitable hires, ensuring competitive and accurate pricing while maximising fleet usage.
Collaboration with Internal Teams:
* Work closely with other internal teams, including operations, sales, and the hire desk, to ensure smooth coordination and communication for the efficient execution of hire processes and customer satisfaction.
Proven experience in hire coordination, depot operations, or a similar role
* Experience managing the end-to-end hire process
* Strong customer service skills, with the ability to manage customer relationships effectively, respond to inquiries promptly, and resolve any issues efficiently.
* Ability to manage multiple tasks and prioritise effectively in a fast-paced environment, ensuring timely delivery and collection of equipment.
* Familiarity with plant hire equipment, including understanding equipment specifications (advantageous)
* Experience with CRM systems and hire software, along with proficiency in MS Office tools.
* Strong problem-solving skills, with the ability to think on your feet and resolve operational challenges quickly.
* Accuracy in handling paperwork, booking systems, and client accounts
* Confident team player with strong communication and collaboration skills, able to work effectively with internal teams to support smooth operations and ensure seamless teamwork.
