About the role
Key Responsibilities:
* Manage, train, and supervise a team of caretakers across multiple school sites, ensuring effective allocation of tasks and responsibilities to maintain high standards of cleanliness and safety.
* Lead and conduct regular team meetings, providing ongoing support, guidance, and performance feedback to caretaking staff to ensure alignment with school objectives.
* Oversee and coordinate the daily activities of the caretaking staff, ensuring that tasks are distributed efficiently and executed to meet deadlines, especially during peak times or emergencies.
* Schedule and assign tasks based on site priorities, project deadlines, and maintenance needs, balancing routine daily duties with urgent or larger-scale projects.
* Support professional development of the caretaking team, identifying training needs and implementing development programs to enhance team performance and job satisfaction.
Project Management:
* Take the lead in managing maintenance and refurbishment projects across multiple school sites, from inception to completion, ensuring that all work is completed on time, within budget, and to the highest standard.
* Work closely with contractors and school leadership to plan and manage smaller-scale projects, such as PPM works, minor renovations, or facility improvements, ensuring these projects are executed efficiently, within budget, and with minimal disruption to school activities.
* Coordinate logistics for project work, including access to facilities, work schedules, material deliveries, and compliance with safety regulations.
* Conduct site visits and monitor project milestones to ensure the projects align with school objectives and health and safety standards.
* Ensure detailed project reports, including progress updates, budget tracking, and post-project evaluations, are communicated to the relevant stakeholders.
Maintenance & Safety:
* Implement and monitor daily, weekly, and long-term maintenance schedules using maintenance management software to ensure that all buildings and grounds are safe, clean, and well-maintained.
* Conduct regular inspections of school facilities to proactively identify potential issues, such as structural problems, safety hazards, or maintenance requirements, and ensure that these are addressed promptly.
* Oversee the scheduling and coordination of necessary repairs, improvements, and preventative maintenance across all sites, minimising disruption to school operations.
* Ensure strict compliance with health, safety, and environmental regulations, including routine fire safety checks, water temperature monitoring, and emergency lighting tests.
* Report any health and safety hazards promptly and coordinate corrective actions in collaboration with the Estates Manager and Compliance and Health & Safety Manager.
Inventory & Supplies:
* Maintain and manage an up-to-date inventory of cleaning supplies, tools, and equipment, ensuring stock levels are adequate and equipment is properly maintained.
* Oversee the procurement of materials and services, ensuring cost-effective purchases through obtaining competitive quotes and managing supplier relationships.
* Ensure all equipment, such as cleaning machines, tools, and maintenance vehicles, is regularly serviced and in proper working condition to minimize downtime.
About you
The ideal candidate will be responsible for ensuring that all school facilities are safe, clean, and welcoming environments for students, staff, and visitors. This includes daily supervision of the caretaking teams, ensuring that tasks such as cleaning, minor repairs, and general maintenance are carried out efficiently and to a high standard.
In addition to managing the physical upkeep of the schools, the role involves the day-to-day management of projects, including both planned and emergency maintenance work. The Multi-Site Manager will be tasked with developing and maintaining maintenance schedules, prioritising urgent repairs, and coordinating larger projects such as refurbishments or improvements. This will involve liaising with contractors, suppliers, and external agencies, ensuring that all work is completed on time and within budget.
Qualifications and Experience:
* Minimum of 5 years experience in facilities management, ideally within an educational or multi-site environment.
* Proven experience managing teams and coordinating maintenance activities across multiple locations, demonstrating strong leadership and organizational skills.
* Experience in project management, with the ability to oversee complex projects, manage budgets, and coordinate multiple stakeholders.
Skills:
* Strong leadership and interpersonal skills, with the ability to motivate, support, and manage a diverse team effectively.
* Excellent organizational and time-management abilities, capable of prioritizing multiple tasks and projects in a dynamic, fast-paced environment.
* Knowledge of basic maintenance tasks, health and safety regulations, and facilities management best practices.
Technical Proficiency:
* Proficient in the use of maintenance management software and basic IT applications to track work orders, manage inventories, and generate reports.
* Ability to perform light repairs and maintenance tasks when necessary, providing hands-on support to the caretaking team.
Other Responsibilities:
* Liaise with contractors working in environments such as ASC (Autism Support Centers) or SEMH (Social, Emotional, and Mental Health) schools, ensuring their work aligns with the specific needs of these settings.
* Attend project and health & safety meetings as required, ensuring all work complies with the school's policies and regulations.
* Maintain confidentiality regarding sensitive information related to the school and its facilities, ensuring privacy and data protection.
* Contribute to the school’s equal opportunity policies, promoting diversity and addressing any discriminatory behaviour within the team.
* Actively promote the safeguarding of children and young people, contributing to a safe and supportive learning environment.
* Undertake any other duties of a similar level and responsibility as may be required from time to time.

* Contribute to the overall aims and targets of the Academy, appreciate and support the roles of other members of the learning support and teaching team.
* Attend INSET, appropriate training and relevant meetings as required and participate in the Academy’s performance management process.
