You will be preparing and co-ordinating the Regional Acute Aortic Dissection Multidisciplinary Meeting that takes place once a month. This will include accepting referrals, preparing minutes from the meeting, and preparing outcome letters to be sent to referring clinicians and patients. You will be required to co-ordinate the East Midlands regional specialist rota of consultant cardiac and vascular surgeons to manage the patients with acute aortic dissection. The coordinator will work closely with their counterpart at University Hospitals Leicester. You will be using various electronic systems. The post holder will be instrumental in the implementation and management of staffing rotas as well as in organising the Regional MDT. You will be supporting the Consultant Rota Organiser (currently the WM Clinical Lead for Aortic Dissection with Cardiac Pathway Improvement Programme, NHS Midlands).
Regional Acute Aortic MDT Co-ordination
You will organise and co-ordinate the Regional Acute Aortic Dissection Rota in collaboration with your counterpart at Leicester University Hospitals. You are expected to:
1. Accept referrals for patients to be discussed at the Regional MDT.
2. Ensure all required imaging is available and work closely with the Interventional Radiologist to ensure imaging and reports are transferred if required.
3. Distribute to regional stakeholders information about the MDT meeting including MS link and minutes from the meeting.
4. Manage the MDT distribution list.
5. Prepare letters with the meetings' outcomes for referring clinicians and patients.
6. Collect activity data for the patients diagnosed with an acute aortic dissection across the region.
Rota Co-ordination
You will support the delivery of rotas and staffing to an agreed level, providing accurate timetables and on-call rotas for senior and junior medical staff as follows:
1. Consultant on-call rota.
2. Supporting the Consultant Rota Organiser.
3. Keeping all the stakeholders informed of the AAD rota centre on call and the access phone number(s), with any last-minute changes.
4. Keeping an up-to-date record of consultant cardiac surgeon on call rota in the tertiary centres with updates for the purpose of knowing where to redirect the referral if the on-call team are busy.
5. Auditing the calls to AAD phone line/electronic referrals.
6. Making sure that the AAD database entries have been completed by the admitting team, including contact details of the referring physician.
7. Preparing the quarterly reports of the referrals and their outcomes.
8. Keeping track of all patients accepted by the rota surgeons, including those who did not have an intervention; ensuring they are followed up by the aortic MDT.
9. Taking the minutes of quarterly governance meetings.
10. Helping to organise educational events for the AAD team and the referring hospitals.
Produce and distribute the above rotas for all grades of medical staff. Maintain effective communication channels across sites, linking in with key departments and the Directorate Management Team.
