The Project Coordinator is responsible for supporting the Programme Manager in the delivery of a number of projects and Service Improvements across the college. The successful candidate will be expected to build relationships across a wide stakeholder community and business partners, to help ensure the projects are delivered to budget and within timescales, driving innovation in line with the University’s requirements applying the appropriate project governance. The role is situated in Cornwall and may require occasional trips to London.
Accountabilities
* Be responsible for the project coordination of IT Projects in line with the Kings Operating Model (KOM) using appropriate tools (incl. Ms Project, Azure Dev Ops-ADO) and other methodologies as appropriate.
* Support/shadow IT Project Managers in the delivery of IT projects as appropriate to include meeting support and the monitoring of the projects RAID.
* Ensure that realistic project, quality, change control, and risk management processes are maintained and documented.
* Support the Project Managers in monitoring and controlling resources, revenue, and capital costs against the project budget.
* Lead small scale projects / deliverables.
* For SAFe Agile deliveries, assist with PI Planning and running ceremonies. Manage the ADO Board (flagging any concerns).
* Assist with the creation of Lean Business cases (ensure they are stored appropriately) and documentation of risks.
* Provide assurance on project documentation, to include final proof reading and document circulation.
* Raise purchase order requisitions, coordinate deliveries, filing of quotations, purchase orders, and invoices, keeping track of purchase orders in a central log.
* Maintain project financial position, reconciling finances and invoicing.
* Contribute to the creation of benefits realisation plans as part of each project and provide administrative support for benefits analysis and tracking.
* Providing training and guidance on project processes and tools (including Project Online and MS Project).
* Provide exception reports to the Programme Manager to report on project performance within the portfolio - and consolidate and distribute various reports and analysis for actions. Support Project Team meetings.
* Coordinate the review process to ensure quality project documentation.
* Assist the Programme Manager with the maintenance of the roadmaps.
* Set up project files and maintain processes to ensure project management documentation, reports, and plans are relevant, accurate, and complete.
* Maintain a central repository of lessons learned and best practices across projects.
* Support the transition from solutions to operations and governance (SOM, designs, supplier arrangements etc.).
* Deliver project related communications, documentation, and collaboration, in conjunction with project managers and in accordance with IT Communications Policy.
* Maintain project web pages, SharePoint, and document repository.
