As our Office Administrator you will play a crucial role in making sure our services enable people to have fulfilling, rewarding lives. Our administration team supports Teams, Service Leaders, Directors and external stakeholders and provides a professional, friendly and supportive administration service.
You need to be someone who is passionate about providing great customer service and someone who can work collaboratively as part of a small team. You should have a good eye for detail with some good IT skills and a professional friendly manner. On a daily basis you will be dealing with a range of administrative tasks. You will be responsible for maintaining all databases and our internal drives and systems and support any new developments.
You will work closely with our HR and Training departments to assist with a range of duties and we need you to be able to use your own initiative and demonstrate a flexible approach to your working day. It is a busy office, with no two days the same, you will be expected to provide support to a range of people and departments.
Job purpose:
1. To maintain all databases and drives on our system and support the development of any new databases.
2. To assist our HR and Training departments with all administration tasks.
3. To work closely with our HR & Office Manager, Directors and Service Leaders to provide satisfactory administrative support.
4. To maintain reception duties.
Key tasks:
1. To assist the HR department with all administration tasks including issuing job offers, contract letters, placing job advertisements, maintaining personnel files and maintaining the HR database, recording staff absence, supervisions, and probations.
2. Working alongside our Training & Quality & Support Services personnel to ensure that our databases, training records and training agreements are up to date.
3. Assisting with staff inductions including organising and dispatching inductee timetables, letters, invitations, preparing induction packs and conducting office tours.
4. Administering Office 365 e-mail accounts.
5. Responsible for all minute taking requirements, including sharing actions and prioritising timescales.
6. Data input to our internal database Carista.
7. Typing letters, reports and any other documentation that may be required.
8. Photocopying, scanning, filling and shredding.
9. Assisting staff members with their own office and I.T.
10. Housekeeping of all databases and data drives on our system and the structuring of new databases.
11. Helping to maintain a safe, happy and clean office.
12. End of day office sweep and locking up duties (Key Holder).
13. Assisting in all manner of duties within an office environment.
14. Reception duties.
15. Issuing mobile phones to staff and assisting with any queries regarding this.
Other Duties:
1. To undertake training and development activities as agreed with your line manager.

3. General Data Protection Regulation Office Administrator will be expected to familiarise themselves with the Beyond Limits Data Protection Policy.
4. You will ensure that all work is undertaken in accordance with health and safety legislation rules and regulations, following procedures and maintaining awareness of matters relating to duties of post.
