You will provide general admin support to technical teams to assist them to effectively manage their projects. Deadlines are ever-changing and diary management is a big part of this role so you will need to be comfortable using Microsoft Outlook. Your daily responsibilities can vary from scheduling meetings, preparing agendas, taking and distributing minutes and arranging all the necessary conference room facilities. You may be required to arrange travel and accommodation for colleagues at all levels and organise office events. You will assist with the preparation/formatting of documents using the Microsoft Office suite ( Word/Excel/PowerPoint) and ensure filing and archiving systems are maintained. You will be the first point of contact for office and maintenance issues, taking responsibility for dealing with contractors to report faults and repairs, ensuring necessary paperwork is obtained to ensure compliance. A key part of your role will be at the forefront of our client experiences which includes responsibility for maintaining and enhancing our professional front of house service. You will be one of the first points of contact for telephone enquiries and for welcoming visitors to the office so you will need to be comfortable with dealing with a high volume of external and internal parties. In addition, you will take on the role of Office Safety and Environmental Coordinator (OSEC) which includes filing of HSSE documentation, conducting HSSE Program orientation for new employees, assisting Project Managers to prepare and file incident reports and conduct investigations and corrective actions, performing monthly office inspections and attending regional OSEC conference calls. About You: You will have previous experience of working in a busy office environment and have strong skills in Microsoft Office. You will have strong communication and organisational skills. You will have a high degree of self-management, initiative, reliability and flexibility to ensure that the best possible service is given to internal and external clients. You will be a team player with a positive attitude and have a willingness to help others.
