Job overview
To provide a comprehensive Outpatient Administration and Main Reception service to the Ilkeston site. This will support University Hospitals of Derby and Burton and Derbyshire Community Health Services.
To provide a 7-day rostered service to the Community Diagnostic Centre including MRI, CT, Ultrasound and Point Of Care Testing.
To provide administrative support to the Health Records Department.
This involves working closely and communicating effectively with Multidisciplinary teams using initiative, tact, and diplomacy.
We have an exciting opportunity for 1 x 37.5 hours post and 1 x 24.5 hour post. This will be a 7am to 7pm service. Other hours may be available for the right candidate.
Flexibility will be paramount to this role and for the right candidates we can offer full day shifts or split shifts.
You will be joining an already established team who have patient care and outcomes at the heart of everything they do.
Main duties of the job
1. Work on own initiative to ensure the work allocated to the post holder is organised to ensure all deadlines are met, and standards are maintained.
2. To record data, using Lorenzo, SystmOne and the room booking software.
3. To record and update case note folder location details on the case note tracking system.
4. To prepare the contents of case notes in accordance with the case note maintenance policy and prepare items for scanning onto the Patient Administration System (PAS).
5. Provide a courteous and efficient reception service to all Patients attending the hospital, observing confidentiality.
6. Make follow up appointments for outpatients using the PAS system, generating letters, and completing Outpatients Outcomes and Clinical Coding outcomes on the database.
7. Ensure the 18-week RTT (referral to treatment) end date is captured on PAS system.
8. To provide a friendly, helpful, and professional reception service, including cash handling and banking.

Minimum requirements
1. Good written communication on application form.
2. Demonstrates the experience and ability to communicate across different staff groups both verbally and in a written form.
3. Demonstrates a good standard of education in English (O Level, GCSE).
4. Demonstrates experience in a patient facing/customer service environment.
Admin office experience
1. Demonstrates experience working with a team as well as undertaking tasks on their own.
2. Demonstrates experience making and receiving telephone calls and being a point of contact for customers/patients.
Organisational skills
1. Demonstrates experience and the ability to prioritise their own workload.
2. Demonstrates experience managing multiple tasks.
